Attaching a file to an AP transaction

Accounting CS enables you to attach portable document format (PDF) files, image files (GIF, JPG, JPEG), or metafiles (EMF, WMF) to transactions in the Enter Payables screen. You can view, edit and save, and print attached PDF files at any time using the application's PDF editor.

Choose Action > Enter Payables.

Attaching a file

  1. Open the Open dialog using any of the following methods.
    • In the Rapid tab, add a new transaction record or highlight an existing transaction and then either choose Edit > Attach File or right-click in the Attachment column, and choose Attach from the context menu.
    • In the Detail tab, add a new transaction record or navigate to an existing transaction and choose Edit > Attach File.

    Note: The Edit > Attach File and Attach commands are available for only those transactions that do not already have a file attached to them.

  2. In the Open dialog, browse to the location of the file to attach, and then select the appropriate file. The application displays an attachment icon in the corresponding attachment column in the Rapid tab for all transactions that include an attachment.

Viewing, editing, and printing an attached PDF

  1. In the Rapid tab of the Enter Payables screen, double-click the icon associated with the transaction with the PDF attachment that you want to modify.
  2. In the PDF Editor, modify the PDF as needed, and then save the PDF.
  3. Click the Close window button to close the PDF editor.

Viewing and printing an attached image file

  1. In the Rapid tab of the Enter Payables screen, double-click the icon associated with the transaction with the image attachment that you want to view.
  2. The application opens the image in Microsoft Edge, where you can zoom in and out and print the image.
  3. Click the Close window button to close Microsoft Edge.

Deleting an attached file

  1. In the Rapid tab of the Enter Payables screen, double-click the icon associated with the transaction with the attachment that you want to delete.
  2. Delete the file using any of the following methods.
    • In the Rapid tab, add a new transaction record or highlight an existing transaction and then either choose Edit > Delete File or right-click in the Attachment column, and choose Delete from the context menu.
    • In the Detail tab, add a new transaction record or navigate to an existing transaction and choose Edit > Delete File.

    Note: The Edit > Delete File and Delete commands are available for only those transactions that have a file attached to them.
