Importing basic client information from UltraTax CS

The Populate Clients from UltraTax CS wizard enables you to create new client records and to import client setup information from existing client records in UltraTax CS including client ID, SSN/EIN, name, address, phone numbers, email addresses, year-end date, and entity types. This time-saving process eliminates the need to create a tax engagement client from scratch in Accounting CS.

Notes

  • You must have UltraTax CS (v.2013.3.0 or higher) installed on the same machine or server as Accounting CS, and at minimum an address and state set up for the client in UltraTax CS prior to populating the client into Accounting CS.
  • You must have the Accounting and/or the Workpapers service enabled on the Main tab of the Setup > Clients screen to import client setup information from UltraTax CS.

Steps in UltraTax CS

In the Misc tab of the Help > Repair dialog click the CS Accounting Products option and then click the Populate button to create an export file.

Note: In order for the import to work, each client record in UltraTax CS must have information in the following fields.

  • Client ID
  • EIN/SSN
  • Address

Steps in Accounting CS

  1. Choose File > Import > Populate Clients from UltraTax CS.
  2. In the Populate Clients from UltraTax CS wizard, select an entity, a single client, or multiple clients.

Notes

  • Existing clients with the same ID in both Accounting CS and UltraTax CS are not displayed in the Client Selection screen of the wizard.
  • You can sort the client list in the Client Selection screen of the wizard by clicking the column heading buttons.
  • You can print an import summary from the last screen of the wizard.

The set up information that is created for the client in Accounting CS is determined by the fields that are populated in UltraTax CS. The following tables identify data fields in UltraTax CS and the corresponding fields that are populated in Accounting CS.

Internal only

  • After creating the export file in UltraTax, you should see a file called UT2ACS.xml in the WinCSI\Accounting CS Data\Data\Integration\Tax or WinCSI\Workpapers CS Data\Data\Integration\Tax folder. You can open this file with IE or Notepad to view the information that is in the file.

    Note that if any information is missing for one or more clients, the application file will not show up at all in the Populate wizard.

  • Accounting CS requires a FIRM database for integration and data sharing to work with UltraTax CS. The format of the Accounting CS database name must be ACS_<FirmID>_Firm. (For example, ACS_0_Firm, ACS_999_Firm, ACS_798046_Firm_.) Also, integration and data sharing will not work if there are multiple FIRM databases.
