The Tax Agents screen contains, by default, information for all federal and state tax agents and some local tax agents that can be used by the firm's clients. You can add tax agents for local withholding only, and only tax agents that have been added manually can be deleted from this screen.

When a client adds a work location or employee address that is subject to a tax agent's jurisdiction, that agent will display in the Vendors list in the Vendors screen for that client.

Note: Tax agents that you add manually will not have a corresponding tax form available in the application (see Custom tax agents and missing payroll tax forms). You must choose a default tax agent for the application to make a specific tax form available for the client.

Adding local jurisdiction tax agents

  1. Choose Setup > Firm Information > Tax Agents and click the Add button.
  2. In the Identification section of the Main tab, enter the tax agent's ID and name.

    Note: Enter the tax agent name as you would like it to appear in drop-down lists and on reports. Although the tax agent name itself does not need to be unique, the tax agent name and tax agent ID combination must be unique for each tax agent, (even if the ID is blank). 

  3. In the Jurisdiction section, select the appropriate state from the State drop-down list.
  4. Click the Ellipsis button button next to the Localities field to open the Localities dialog. There, select any localities under the jurisdiction of this tax agent and then click OK.
  5. In the Liabilities section, click the Ellipsis button button to open the Liabilities dialog, where you can select the liabilities for this tax agent. The liabilities display in the field separated by commas.
  6. In the Deposit Schedules section, click the Ellipsis button button to open the Deposit Schedules dialog, where you can select deposit schedules and schedule details that are appropriate for this tax agent. The deposit schedules display in the field separated by commas and also appear as options in the Default drop-down list.
  7. In the Payment Options section, select the default payment method for this agent.
    1. For agents you have added manually, if the currently selected agent requires a payment form to be filed even when there is no liability due, mark the Filing required when no payment due checkbox. If that checkbox is marked and the agent will accept a zero amount EFT file, mark the Accepts zero EFT file checkbox.

      Note: Zero-payment forms are not created for inactive clients.

    2. When Payment is selected as the default payment method for the tax agent (for payments made outside of the application), you can mark the Include payment worksheet checkbox to create a payment worksheet when payroll liabilities are processed for this tax agent.
  8. In the Phone and Fax Numbers and Email and Web Addresses sections, enter contact information for this tax agent.
  9. If appropriate, click the Direct Deposit tab and then specify direct deposit information - tax period frequency, direct deposit allocation information, and other additional information.
  10. Click Enter to save the information for this tax agent.

Editing tax agent information

You can modify all information for manually added tax agents, but you can modify only certain fields for the tax agents that are provided by the application.

  1. Choose Setup > Firm Information > Tax Agents, highlight the state or federal tax agent you want to modify, and click the Edit button.
  2. In the Identification section of the Main tab, enter or modify the tax agent's ID.
  3. In the Deposit Schedule section, select the default deposit schedule for this agent, if appropriate. The options available in the drop-down list are the deposit schedules listed in the field above and vary by tax agent.
  4. In the Payment Options section, select the default payment method.
  5. In the Phone and Fax Numbers and Email and Web Addresses sections, enter contact information for this tax agent.
  6. In the Payment address section, enter a payment bank name and address for this tax agent (for federal tax agents) or a default payment address for this tax agent (for state or local tax agents). You can find detailed information about the Payment address section in the Tax Agents > Main tab article. 
  7. If appropriate, click the Direct Deposit tab and then specify direct deposit information - tax period frequency, direct deposit allocation information, and other additional information.
  8. Click Enter to save the changes to this tax agent.
