Payroll tax forms display "Applied For" instead of a SSN

If the SSN/EIN field is left blank in the Main tab of the Setup > Employees screen for an employee, or if an Individual Taxpayer Identification Number (ITIN) is entered, Accounting CS automatically enters “Applied For” in Box A of Form W-2 (per Form W-2 instructions) and in Box 2 of Form 1095-C when your Form W-2 or 1095-C reports are due.

For further information, refer to the IRS website for the definition of an ITIN and/or section 4 of Publication 15 (Circular E).

From Publication 15: IRS individual taxpayer identification numbers (ITINs) for aliens. Do not accept an ITIN in place of an SSN for employee identification or for work. An ITIN is available only to resident and nonresident aliens who are not eligible for U.S. employment and who need identification for other tax purposes.

To help ensure the accuracy of your tax forms, remember to return and update the employee's record as soon as you receive the employee's SSN.
