The W-2 export feature enables you to create an XML file of employee W-2 information that can be imported into another application for client Form 1040 processing. Currently this feature supports import into UltraTax CS only. Unlike data sharing with UltraTax CS, the W-2 export enables you to export forms to other firm databases and to applications that are not installed to the same environment as Accounting CS.
Note: If your firm uses UltraTax CS, we recommend that you take advantage of the data sharing capabilities. For more information, see Data sharing overview.
With the W-2 export feature, the files are transmitted based on the Firm ID and the employee Social Security number.
Specifying the Firm ID
- Choose Setup > Firm Information > Firm and click the Preferences tab.
- In the Export W-2s section, enter the Tax Firm ID for the application into which you want to export the information. Currently this is for UltraTax CS only.
Enabling the W-2 export feature for a client
- Choose Setup > Clients and click the Integration tab.
- Select the appropriate client in the Client selection pane.
- In the Export W-2s section, mark the Send W-2s to UltraTax CS checkbox.
Note: This checkbox is available only when a valid tax firm ID has been entered in the Preferences tab of the Setup > Firm > Firm Information screen.
Exporting the employee W-2 information
When the employee copy of the W-2 is printed, the employee W-2 information is sent to our secure CS Connect servers where it can be downloaded to UltraTax CS.
Note: If data sharing is enabled in the Preferences tab of the Setup > Firm Information > Firm screen, the application will not share data with any client that has the Send W-2s to UltraTax CS checkbox marked, and will export only the W-2 information via our secure CS Connect servers.
