Form processing tips

To edit or process the Form KW-3E in the Actions > Edit Payroll Tax Forms screen or the Actions > Process Payroll Tax Forms screen, you will need to make sure that the payment method for the Kansas tax agent in the Setup > Vendors screen is set to Direct Deposit.

By default, the application does not list employee information in sections four through seven of Form K-CNS 100. Instead, the application will list employee information on Schedule A.

The State of Kansas requires all employers with 50 or more employees, or third-party administrators with 50 or more client employees, to electronically file all Quarterly Wage Reports and contribution returns and make any quarterly tax payments online.

If your client has fewer than 50 employees and want to include employee information on Form K-CNS 100, follow the steps below.

  1. Choose Actions > Edit Payroll Tax Forms.
  2. Choose Form type Reconciliation, Jursidiction Kansas, and Form K-CNS 100.
  3. Click the Additional Information button and mark the Display employees on Form K-CNS 100 checkbox.

  • Registration is required and you must apply to submit files electronically within the Kansas WebTax electronic filing services website.
  • File format - ICESA
  • Navigate to the Kansas Department of Revenue website and click the Electronic Services button. Sign into Kansas WebTax.org.

State ID formats

Unemployment ID: 6 digits

Withholding ID: Must be of length 15. Must start with 036.

  • If the client doesn't have an EIN, the 4th character must be an A or K and characters 5 - 12 must be digits (so 8 digits).
  • If the client does have an EIN, the EIN must follow the 036 (without spaces).
  • The 13th character must be an F. The last two characters must be digits.
