For payroll compliance (annually licensed)

Payroll tax liability for state and local jurisdictions is automatically determined by the application based on the client and employee work locations and addresses. Federal, state, and local payroll tax information is entered in the Setup > Clients > Payroll Taxes tab screen.

If a state or locality requires any additional information for filing, this is entered in the Additional Information dialog, accessed by clicking the Additional Information button next to the state in the Forms section of the Payroll Taxes tab.

Per return pricing (PRP) information

There is a per-return transmission cost for electronically filing federal 94x forms; enrollment files do not accrue a fee. There is no additional transmission cost for electronically filing state forms. For many firms, it may be more cost efficient to purchase an unlimited e-filing license. For pricing information on the unlimited e-filing license, contact your Sales Representative.

Filing requirements by state/locality

To file state and local forms by any method other than paper or preprinted (via magnetic, electronic, or internet files), you need to know ahead of time if the state or locality requires registration prior to e-filing, if they require test files sent, and what file format they use.

Note: You can look up payroll tax form information, including the filing methods, approval status, and more in the State-specific payroll tax form information article.

Processing

If you have registered for e-filing with all necessary jurisdictions, the client's information has been set up, and you are ready to process forms, follow these steps.

  1. If you need to modify information on a payroll tax form for a client prior to processing, choose Actions > Edit Payroll Tax Forms and enter any information or override fields as needed. If you want to process forms for the client at this point, you can choose File > Process Client Forms (or click the Process Client Forms Process Client Forms icon in the toolbar), select the forms, choose the appropriate filing methods, if needed, and click the Process Selected button.
  2. If you do not need to modify form information, choose Actions > Process Payroll Tax Forms , click the plus sign next to the client ID to view the forms, select the forms to process, choose the appropriate filing methods, and then click the Process Selected button.
  3. Follow the Processing electronic forms or the Processing internet and magnetic files procedure to process your files.
  4. To make or include payments, follow either the Creating electronic or internet files for payroll tax payment forms or Creating payroll tax reconciliation forms that include payment procedure.
