For licensed users of Accounting CS Workpapers

Use the Workpapers List portlet to view all workpapers for an engagement binder within a spreadsheet-like grid. To select multiple workpapers in the Workpapers List grid, click the row header buttons in the left-most column for each row that you want to select, and then press and hold the Ctrl or Shift key on your keyboard. You can add multiple signoffs for selected workpapers and protect or unprotect multiple workpapers at a time. And you can delete signoffs for one workpaper at a time.

Customizing columns

Click the View Maintenance link at the top of the portlet to customize columns in the view via the View Maintenance dialog.

Opening workpapers

  1. In the Workpapers List portlet, select an engagement binder from the drop-down list in the top right of the portlet to view the list of workpapers for the selected engagement binder.
  2. Highlight the desired workpaper in the grid, and click the link in the Reference column for the item, or right-click the workpaper in the grid and choose Open to launch it in the relevant application.

Assigning workpapers

Select a staff member from the drop-down list in the Assigned column in the grid.

Applying Roll forward and delete on finalize options

Use the drop-down menu in the Roll Forward column to select and apply a roll forward treatment for a selected in the workpapers list. Also, you can mark the checkbox in the Delete on Finalize column to remove selected workpapers from the engagement binder during the Finalize process.

Adding, removing, and editing signoffs

Use one of the following methods to add signoffs to workpapers in the Workpapers List portlet.

Select a cell in the row for the workpaper in which to add your signoff, and then use the hotkey assigned in the Setup > Firm Information > Signoff Types screen (for example Ctrl+1).

Right-click a workpaper in the grid, choose Add Signoff, and then select the signoff type that you want to add for the selected item.

Notes

  • With the appropriate privileges assigned to your staff ID, you can edit signoff dates and delete only those signoffs that you have created.
  • You cannot delete signoffs after the engagement binder has been Finalized.
  • You can apply signoffs to  multiple workpapers at a time in the grid. To select multiple workpapers in the portlet, press CTRL+click, Shift+click, or drag your mouse over multiple workpapers to select them.
  • You can edit signoffs for a single workpaper at a time.
  • You can delete signoffs for  a single workpaper at a time. 

Using the right-click command menu

The following commands are available when you right-click a workpaper in the grid.

Menu command Function
Open Launches the workpaper in its native application, in either read-only or full-access mode (based on the status of the binder and the workpaper). Changes the status from Available to Checked out by <username>.
Return to Binder

Opens the Return Workpapers Wizard that enables you to select workpapers that have been Disconnected after being updated in the field and are ready to be returned to the engagement binder. When you return a workpaper to the engagement via the Return Workpaper wizard, the application overwrites the existing workpaper in the Engagement Binder with the one that is returned. (For details, see Disconnecting and returning workpapers for work in the field.)

Returns single or multiple PDF workpapers to the engagement binder that have a status of Checked out without opening the Return Workpaper wizard. You are prompted to close the PDF workpaper before returning it to the engagement binder if it is currently open in it's native application, such as Adobe Reader. (The option to open PDFs in their native application instead of in the PDF editor within Accounting CS Workpapers is available in the Preferences tab of the Setup > Firm Information > Firm screen.)

Discard Checkout Removes the checked-out status for the selected document or workpaper, makes it available for other staff to checkout, and discards all changes made since it was last opened.
Add Signoff Opens a list of signoff types that have been set up for the current engagement client. For details, see Setup > Firm Information > Signoff types. You can apply signoffs to multiple workpapers at one time in the grid, but delete signoffs for only a single workpaper at a time.
Add Note Opens the Notes dialog for the selected workpaper.
Delete Removes a selected workpaper from the engagement binder and sends it to the Recycle Bin.
Protect / Unprotect Toggles the workpaper permission between read only (protected) or read and write (unprotected). The application locks formulas that are contained in a protected workpaper. All workpapers in a Finalized engagement binder have a protected status. You can toggle protection for multiple workpapers at one time in the grid.
Delete Signoff

Removes the signoff contained in the selected cell for the workpaper listed in that row.

Note: You can delete signoffs in the Workpapers List portlet only when they are associated with the login that you are currently using (For example, if you are logged in as ADMIN, only the signoffs associated with the ADMIN staff ID can be deleted edited). This option is unavailable in the right-click menu when you select signoffs that have not been created by the staff ID that you are currently using.

Edit Signoff

Opens the Signoff Date dialog for the originator of the signoff to modify the date for the selected item. You can apply signoffs to  multiple workpapers at a time in the grid, but you can edit signoffs for only  a single workpaper at a time.

Note: You can edit signoffs in the Workpapers List portlet only when they are associated with the login that you are currently using (For example, if you are logged in as ADMIN, only the signoffs associated with the ADMIN staff ID can be edited).This option is unavailable in the right-click menu when you select signoffs that have not been created by the staff ID that you are currently using.

Disconnect Workpapers Opens the Disconnect Workpapers Wizard that enables you to select and save workpapers outside of the application so that they can be updated in the field in an application such as Microsoft Word or Microsoft Excel. For details, see Disconnecting and returning workpapers for work in the field.

Notes

  • You can use the Workpapers List portlet to return multiple PDFs to the binder in a single step. (If the  Open PDF workpapers in native PDF application checkbox is marked in the  Preferences tab of the Firm screen, PDFs are not automatically returned to the engagement binder when they are closed.)
  • You cannot delete signoffs after the engagement binder has been finalized.
  • You can filter the data that is displayed in the Workpapers grid by using the filter. For information about filtering data in screens, see the Searching and filtering data procedure.
  • You can modify the existing properties or a workpaper by right-clicking the workpaper in the Engagement Binders Tree portlet and choosing Properties.
