If your client wants to move away from CBS ASP (online) and have a local (Desktop) installation of Client Bookkeeping Solution (CBS), depending on their initial license, they may be able to switch.

Only CBS companies initially licensed as Desktop can be switched back from CBS ASP to Desktop.  Contact Customer Service at 800.968.0600 to determine if your client is eligible to switch from an ASP license to a Local license.

If your client is not eligible to be reverted back to a Desktop / Local license, you will need to print reports from CBS as your final record of the data.

Steps for the Transition

  1. Backups will need to be made of the CBS company data and layouts before proceeding. This is done under the File > Backup menu in CBS. The files would need to be saved to the C$ on client (V:\) drive which is the local C:\ of the local computer.
  2. Contact Customer Service at 800.968.0600 to determine if the CBS company license is eligible to switch from an ASP license to a Local license. Note: There may be fees involved with this process.
  3. Download and apply Creative Solutions Accounting (CSA) licenses in order to update the CBS Master License. (If CSA is on Virtual Office / SaaS, there is no need to download any licenses - that is handled here).
  4. Generate license files only from the Accountant's Assistant screen (Utilities > Accountant's Assistant > Client Bookkeeping Solution) in the corresponding CSA client file.
  5. The client will need to install the CBS program on his/her computer. This can be downloaded from www.cbsdownload.com. After installing the program, they will need to download and apply all remaining updates. This can be done by opening the CBS Sample Company and using File > Update CBS to download and apply remaining updates.
  6. Restore the CBS company data and layouts that were backed up from the CBS ASP portal. This can be done under File > Restore. At this time, the company file can be restored but not opened in CBS because it still has an ASP license.
  7. In CBS, import the license files that were generated from Accountant's Assistant in CSA. The "Import from accountant" path may need to be changed in Utilities > Options > CBS Data Folders tab so that it matches the place where the licenses were generated in Step #4. After the path is corrected, choose File > Import > From Accountant. This will update the license for the company to a Local license allowing the user to access the company file with the local installation.

Important: Once the client is up and running on the local installation, the CBS ASP client and NetClient portal should be deleted so that your firm is no longer charged for it.

Internal notes

Support, you can also determine if a CBS company is eligible to be switched from CBS ASP to Local in EMS.

1. In EMS, enter the Firm ID
2. Click on File > Firm clients > CBS Client
3. Select the CBS company in the list
4. Under Details, compare the order number and date of the CBSW CheckWriter Module under Windows to that of the CBSW-ASP (Portal) under Web
5. If the date of the CBSW CheckWriter module is before the date of CBSW-ASP (Portal) the client is eligible to be switched to Local
6. Transfer the user to Customer Service to have the license switched to Local

The reason that some companies cannot be switched is:

Since the CBS program is sunsetting on 6/1/2017, we are no longer selling it. If a CBS company has only been used on CBS ASP, to use it locally the firm needed to purchase CBS which they can no longer do. If the client restores a backup of a CBS company that is licensed for CBS ASP into a local installation of CBS, it cannot be opened. The client will receive a message that it can only be used on-line.

Conversely, if a CBS company was once used locally, the firm has purchased CBS so the licensing is ok to revert back from CBS ASP to local.
