Resolution

Setting up Workers Comp

  1. With the client opened, choose Setup / Employees.
  2. Select an employee from the list and click on the Edit button.
  3. On the Earnings tab, click the icon of the magnifying glass (Pay Item Properties) for the specific pay item.
  4. Use the Other tab of Pay Item Properties dialog to enter Worker's Compensation information as it relates to the selected pay item for the selected employee.

    Note: If you are entering information for Washington L & I, refer to K03352423.

Fields

  • Workers Comp Class, Rate, State: Enter the class, rate, and state code applicable for the selected pay item. Note: The Class field is a custom fieldview.
    • A custom fieldview is similar to a regular fieldview or drop-down list except that you determine the entries that appear in its drop-down list.
    • A custom fieldview is indicated by the arrow button and a vertical green stripe.
    • To add an item to the drop-down list in a custom fieldview, simply enter the item into the field and then press CTRL+S.
    • To open a dialog where you may add or edit items in a custom fieldview's drop-down list, place the cursor in that field and then press CTRL+W.
  • Apply wage limit: (Available only for clients with California or Ohio selected on the Payroll tab of the Client Properties dialog.) Mark this checkbox to apply a limit to the Workers' Compensation calculations. The limit is based on information entered in the Workers' Compensation dialog from the Setup / System Configuration / Payroll Tax Information / State / SUI and SDI tab.
  • Multi-class identifier: (For XactPay Clients only) This field is exclusively used for client who are enrolled in the XactPay workers compensation system. The field is used to designate pay items that have different worker compensation classes then other pay items.
  • Special Text 1: Field reserved for future use in Payroll CS.
  • Special Text 2: Field reserved for future use in Payroll CS.
  • Wage description number: Field to be used only with TimeClock import files.
  • Exclude from MA WR-1: This checkbox is only available if the client has Massachusetts selected on the Payroll tab of the Client Properties dialog. When this checkbox is marked, the amount of this pay item will not be included in the employee's wages on Form WR-1.
  • IN State Adv EIC: This checkbox is only available if the client has Indiana selected on the Payroll tab of the Client Properties dialog. When this checkbox is marked:
    • the pay item amount is added to positions 341-351 of the state W-2 magnetic media RS Record for State Adv EIC
    • the amount will flow to the Advance EIC payments box on the WH-1 form
    • the amount will flow to the Advance Earned Income Credit box on the WH-3 form
  • KY Tax Credit: This drop-down list is only available if the client has selected Kentucky on the Payroll tab of the Client Properties dialog. The KY Tax Credit drop-down list affects the position of the pay item amount in a magnetic media state W-2 file.

    • If None is selected, the amount is not added to positions 338-381
    • If KREDA is selected, the amount is added to positions 338-348
    • If KJDA is selected, the amount is added to positions 349-359
    • If KIRA is selected, the amount is added to positions 360-370
    • If KIDA is selected, the amount is added to positions 371-381

Workers Compensation Report

The Workers Compensation Report lists the employee ID and name, SSN, hours, total wages, excess wages, taxable wages, and Workers Comp amount for all or for selected employees. The report calculates the Workers Comp amount for wages by state, class, and rate entered in the Pay Item Properties dialog (which is accessible from the Earnings tab of the Employees window).

To determine which way the program will calculate the Workers Comp amount, under Options for this report, select one of the following as the Calculation type:

  • Hours based: The amount is calculated as the number of hours recorded multiplied by the Workers Comp rate.
  • Regular hours based: The amount is calculated by determining the wage amounts for regular hours only.
  • Taxable Wages based: The amount is calculated by determining the wage amounts as if there were no overtime or double-time premium, then multiplying by the Workers Comp rate.
  • Total Wages based: The wage amount (with overtime and double-time premiums intact) multiplied by the Workers Comp rate.
