If you want to convert a Creative Solutions Accounting (CSA) client into Accounting CS (ACS) with less history, you can reduce the file size by removing years of transactions.

Reducing years of transactions saved in the CSA client is a permanent process. It is recommended a backup of the client be made before you begin the process.

If you're using the remote payroll (NetClient CS) method or Employee Self-Service (called Web Employee in CSA), it is important that you use the original client when reducing the number of years of transactions to save.

Making a copy of the existing client

  1. Open the client in Creative Solutions Accounting.
  2. Go to File > Save as. 
  3. Enter a new name for the existing client, then OK.
  4. You will be placed in the new/renamed client when the process is done.

Reducing number of years of transactions to save

If you are using Remote Payroll in CSA, open the original client ID; otherwise, you can perform the following steps in the renamed/copy of the client.

  1. Choose File > Client Properties from the file menu.
  2. Click on the General Ledger tab.
  3. Verify that the Current period ending date is the same as the Latest period ending date. If the current period ending date does not match the latest period ending date, you will be unable to change the Years of transactions to save.
  4. Click on the Years of transactions to save drop down and select a value less than 5.

Note: The default number of Years of transactions to save is 2. This will only allow you to view the current and prior year's transactions.
