Licenses for Payroll CS, Trial Balance CS, and Write-Up CS (but not Engagement CS) permanently expired on March 1, 2017. CSA will not include 2017 tax rates or payroll forms, so, for 2017 and beyond, you will need to process payroll in another application. We recommend Accounting CS Payroll and myPay Solutions. The PRPay export utility allows licensed Payroll CS users to create and export employee and payroll files that can be imported into the PRPay application to produce payroll tax forms for Puerto Rico. You have the option to process one client at a time, or to process a batch of clients. Follow these steps to create and export the employee and payroll information files.

Initial setup steps

  1. Before creating any files in CSA, enter all company information as necessary into your PRPay application.
  2. In CSA, make sure the appropriate marital status for each employee is entered in the Personal > W-2 tab of the Employees window. The application transfers marital status information from this tab to the export file.
  3. Choose Utilities > PRPay Export.
  4. In the PRPay Export dialog, choose Setup > Employee List. Enter any applicable employee information in the PRPay Employee List grid and then click OK.
  5. Choose Setup > Payroll Items List and then carefully review the default mappings of CSA pay items, deduction items, and withholding items to PRPay payroll items to ensure that all items will import correctly into PRPay, and then click OK. Note that all PRPay payroll items are available for selection in the drop-down lists.

Individual client processing

  1. Select the data range for the currently selected client's information that you want to include in your export file.
  2. Click the Direct Export button to create the employee and payroll files. The application will prompt you to name the files and to specify where they are to be saved.

Batch file processing

  1. Select the data range for the information that you want to include in your export file.
  2. Click the Prepare for Batch button.
  3. Choose File > Batch File Export.
  4. Specify which files to export by moving them to the Files selected list.
  5. Click the Export button to create the employee and payroll files for all the specified clients. The application will prompt you to name the files and to specify where they are to be saved.
