Licenses for Payroll CS, Trial Balance CS, and Write-Up CS (but not Engagement CS) permanently expired on March 1, 2017. CSA will not include 2017 tax rates or payroll forms, so, for 2017 and beyond, you will need to process payroll in another application. We recommend Accounting CS Payroll and myPay Solutions. For more information, see the following topics.

If you have provided your client with the PayCheck module, you can use this tab to specify options for that module of your client's CBS application.

From the Accountant's Assistant main window, choose Setup > Miscellaneous Information. In the Miscellaneous Information dialog, click the PayCheck tab.

The settings you make here will affect only the PayCheck module of CBS. From this tab, you can choose the default payroll frequency and next monthly export date for PayCheck data, the 401(k) limits and deduction options, and whether to enable whole-dollar rounding.

Note that CBS PayCheck uses a monthly export frequency. Neither you nor the client can change this frequency.

You can also make settings for both calculating and noncalculating payroll on this tab. You can choose the post date of a payroll entry, whether to have a payroll journal entry, what type of payroll journal entry to have, and how to update earnings.

Fields & buttons

The Client configuration box contains a drop-down list and a field to specify the default payroll frequency and export date.

  • Default payroll frequency. Enter the default payroll frequency most often used by the client for creating payroll checks, or select it from the drop-down list. For example, if the client creates payroll checks on a weekly basis, select Weekly from the drop-down list. Note that the default frequency may be changed in CBS PayCheck (both from the PayCheck tab of the CBS File > Company Properties dialog and during PayCheck data entry).
  • Next monthly export date. Enter the date of the next export date. After you have retrieved data from your client's export files, the date calculated in CBS PayCheck is automatically updated in Accountant's Assistant, based on the monthly PayCheck export frequency, which is the end date of the month.

Specify options for CBS PayCheck:

  • Top heavy limit. Enter the dollar amount of the 401(k) top-heavy employee wage limit for this client. Values can range from 0 to 999,999,999.
  • Non-top heavy limit. Enter the dollar amount of the 401(k) non-top heavy employee wage limit for this client. Values can range from 0 to 999,999,999.
  • Deduction. Choose the 401(k) deduction item from the drop-down list.

Mark the checkbox for each of the following items if you want to have CBS PayCheck automatically round the corresponding category of withholding when calculating that amount during payroll entry:

  • Federal W/H
  • SDI
  • SUI
  • Local W/H
  • State W/H

Note: If you choose whole-dollar rounding, pennies less than 50 cents will round down, and pennies greater than or equal to 50 cents will round up.

Choose one of the following options to specify the method for updating the earnings for employees and where to place payroll checks in CSA.

  • Use the current Payroll period ending date. Click this option to use the current Payroll period ending date as the period in which to update earnings and enter payroll checks.
  • Use the check date's month. Click this option to use the check date's month to determine in which month the earnings will update and payroll checks will be entered.

Create a payroll journal entry. To create a GL transaction when you retrieve payroll checks from CBS, mark this checkbox. The following options are accessible only if this checkbox is currently marked.

  • Summary versus Detail. To record individual checks as GL transactions when you retrieve payroll checks from CBS, choose the Detail option. Otherwise, choose the Summary option to write a summary entry to the Process Transactions window in Accountant's Assistant.
  • Reference. Enter any non-check, non-balancing entry reference (defaults to P89). This reference is used for the summary payroll transactions written to the GL in the Process Transactions window.

Post date of the payroll entry. Choose one of the following options to specify the date for the payroll entry.

  • Use CSA Payroll period ending date. Choose this option if you want to use the current CSA Payroll period ending date as the entry date for each payroll entry created.
  • Use General Ledger period ending date. Choose this option if you want to use the current CSA General Ledger period ending date as the entry date for each payroll entry created.
  • Use the payroll check date. Choose this option if you want to use the payroll check date as the entry date for each payroll entry created.
  • Always prompt for posting date. Choose this option to always have the application prompt you for a posting date during retrieval for payroll entries to be created.

Local withholding will be deducted
This display-only checkbox is marked if the templates or employee records include a local withholding item.

Exclude Deductions

  • None. Calculates all deductions, whether the corresponding checkboxes are marked in the Exclude Deductions grid or not. When your client retrieves the Transfer Disk, selecting this option will mark the Calculate all deductions checkbox on the File > Company Properties > PayCheck tab in CBS.
  • All. None of the deductions will calculate, whether the corresponding checkboxes are marked in the Exclude Deductions grid or not. When your client retrieves the Transfer Disk, selecting this option will clear the Calculate all deductions checkbox and all the deduction items on the File > Company Properties > PayCheck tab in CBS.
  • Selected. Calculates only the deductions you have not marked in the Exclude Deductions grid.

Exclude Deductions grid. Lists all the available deductions. If you choose Selected from the Exclude Deductions field, you can mark the deduction items you do not want calculated in CBS PayCheck.

To generate all payroll items for a client who will be using CBS PayCheck, mark this checkbox.

With the release of Client Bookkeeping Solution Version 2005.2.0 (Spring 2005), your CBS clients will be able to create direct deposit records that can be processed by InterceptEFT.

Disclaimer: InterceptEFT is an unaffiliated third party that some of our customers have engaged to provide direct deposit, tax payments, ACH processing, or credit card merchant services.

To enable this feature for a client using CBS v.2005.2.x or higher, mark the Enable InterceptEFT Direct Deposit checkbox on either the CheckWriter tab or the PayCheck tab of the Setup > Miscellaneous Information dialog and then generate either CheckWriter Miscellaneous Information or PayCheck Miscellaneous Information for the client to import.

Note that the client must create a business relationship with InterceptEFT before they can submit records for direct deposit.
