On the Data Definition tab, specify the source(s) of data for the chart, and how you want to display the data in the graph.
Fields & buttons
To define the number of periods that should appear per data point, enter the appropriate number or select it from the drop-down list. For example, if each data point should represent one year's worth of data for a monthly client, you would enter 12.
To define the number of points to be plotted in the graph, enter a number here. For example, if you specified one period per data point and want to display one year's worth of data for a monthly client, you would enter 12.
To include only year-to-date data for this chart, mark the Current Year checkbox and/or the Prior Years checkbox.
To designate this as a "rolling" chart, mark this checkbox. The Period field becomes inactive and the chart will include information for the 11 months prior to the statement date. For example, if the statement date is 06/30/09, information will print from July 2008 through June 2009. Other amounts printed for prior periods are based on the number of data points specified.
Enter the name that should appear on the legend for this amount.
Choose an account group from the drop-down list or specify an account number or range of account numbers. To specify a single account, you must use the format Act(###), where # represents the actual account number. To specify a range of accounts, you must use the format Act(###:###), where # represents the account number.
For a client with Ls or Ds in the Chart of Accounts mask, you may specify the appropriate location and/or department by selecting it from the drop-down list.
Enter a 1 in this field for prior year values, a 2 for values from two years ago, etc. For the current year, you can leave the field blank or enter a 0.
Enter an appropriate number to specify the starting data period within the selected year. For example, if it is currently the sixth month, to display a year of data you would enter a 1 in the Years back field and a 6 in the Period field.
To change the sign of the specified amount(s), mark this checkbox. You would normally do this for accounts with natural credit balances (revenue, for example) to prevent such balances from appearing as negative amounts in line or bar graphs. Note that pie charts will not print if they contain negative amounts. Therefore, to display credit balance accounts in a pie chart you must mark this checkbox.
To compile the data requested on a cumulative basis, mark this checkbox. Any activity for the year will be added together (excluding beginning balances) when presented on the chart.
To include the beginning balance in the calculation of amounts, mark this checkbox. This option is available only if Cumulative has been selected.
To show the amount broken down by account (pie chart only), mark this checkbox.
