Enter any available personal information for the selected employee in the fields in the Personal information group box.

  • Date of birth. Enter the employee's date of birth using the MMDDYY format. The program uses this date to determine if an employee is eligible for retirement plan catch-up provisions.
  • Date of hire. Enter the employee's hire date in MMDDYY format. This is used for seniority and benefit-accrual calculations.
  • Last raise date. Enter the date of the employee's most recent raise.
  • Inactive date.Enter a date in this field to discontinue or suspend all payroll processing for the selected employee. This will also remove the employee's name from all fieldview lists in Payroll Data Entry and from the Data Entry Worksheet. Enter the date after you have issued the employee's final paycheck. An employee with an inactive date does not appear in the check entry display.
    • If the employee has been terminated, enter the date of termination.
    • If the employee works for the client on a seasonal basis, enter the last date on which wages were paid. When the employee returns to work, enter the rehire date in the Rehire Date dialog (choose Edit > Rehire Date while the employee record is highlighted). The inactive date will be moved to the Prior inactive date field. You have the option of deleting inactive employees at any time if they have been inactive since the start of the current year.
  • Seasonal P/Yr. For employees with a periodic salary rate, enter the number of seasonal periods the employee works per year. This affects the calculation of pay as well as federal, state, and local taxes (functional for the year 2005 and later only).

    Example: For a seasonal employee who is paid weekly but works only nine months out of the year, enter 36 in this field (because the employee is working 36 periods this year). This divides the employee's salary by 36 to calculate the weekly pay and tax amounts.

  • Marital status. Choose Married or Single from the drop-down list. This field is for reporting purposes only. You may leave it blank as it does not impact tax calculations.
  • Gender. Choose a gender from the drop-down list, or you may leave this field blank.
  • Prior hire date. When an employee is rehired and their new hire date is entered in the Rehire Date dialog, the program automatically moves their original hire date into this field.
  • Prior inactive date. When an employee is rehired and their new hire date is entered in the Rehire Date dialog, the program automatically moves their inactive date into this field.
  • Race. Choose an item from the drop-down list, or you may leave this field blank. The options are Asian, Black/African American, Hispanic/Latino, Native American, Native Hawaiian/Other Pacific Islander, Other, White/Caucasian.

    Note: If an employee was previously designated as Asian/Pacific Islander (which is no longer a valid selection), the program will prompt you to select a different race category.

  • Text1 - Text5. The text you enter in these fields may be used in the New Hire Report, user-defined reports created in the optional Payroll Reporter module, and in SUTA forms. Please refer to the state forms help for more details.

    Example: You might choose to assign the medical insurance availability date for all employees to the Text 1 field. To include this information on the New Hire report, you would specify the Text 1 field as the source for this date.
