To enter location, department, or subsidiary descriptions for a GL or Trial Balance client, you must first set up the Chart of Accounts mask to accommodate locations. The alpha or numeric characters you assign to the locations in this dialog will be used in the Edit > Create Locations and Departments dialog to automatically generate accounts to include in the Chart of Accounts.
When the Setup > Chart of Accounts window is active, choose Enter Location and Department Descriptions from the Edit menu or from the F3 or right-click context menu.
Note: You do not need to set up location or department descriptions to define account numbers that take into account the existence of locations/departments. If you have set up the Chart of Accounts mask to include L and/or D segments to accommodate locations/departments, you can define account numbers that include corresponding segments.
For a consolidated client, the dialog and tab names are Subsidiaries when you choose Edit > Enter Location and Department Descriptions.

Fields & buttons
Locations or Subsidiaries tab
Lists the Locations or Subsidiaries (consolidated clients) already entered for this client.
- To add a new location or subsidiary, click the Add button.
- To edit an existing location or subsidiary, highlight it and then click the Edit button.
- To delete an existing location or subsidiary, highlight the location or subsidiary and click the Delete button. You will be prompted to confirm the deletion.
- For new locations or subsidiaries: When adding a Location or Subsidiaries, enter a number for the location or subsidiary.
- For existing locations or subsidiaries: Displays the number assigned to the location or subsidiary highlighted in the list.
- For new location or subsidiaries: When adding a location, enter a description for the location.
- For existing locations or subsidiaries: Displays the description assigned to the location highlighted in the list. To change the description, click the Edit button.
Departments tab
Lists the Departments already entered for this client.
- To add a new department, click the Add button.
- To edit an existing department, highlight it and then click the Edit button.
- To delete an existing department, highlight the department and click the Delete button. You will be prompted to confirm the deletion.
- For new department: When adding a department, enter a description for the department.
- For existing departments: Displays the description assigned to the department highlighted in the list. To change the description, click the Edit button.
- For new departments: When adding a Department, enter a number for the department.
- For existing departments: Displays the number assigned to the department highlighted in the list.
