When the Adobe Acrobat add-in is installed from GoFileRoom, you can use the GoFileRoom Index mapping dialog in Creative Solutions Accounting (CSA) to map CSA variables to indexes already set up in GoFileRoom. This one-time set up allows you to send reports, tax forms and checks, engagement workpapers and whole engagements to GoFileRoom as single or combined PDFs.

To access the GoFileRoom Index Mapping dialog you must have the appropriate checkbox marked on the General tab of the Group Privileges dialog.

Setting up index mapping

  1. Choose Setup > System Configuration > GoFileRoom Index Mapping.

    Note: You will be prompted to log in to GoFileRoom if it is the first time that you have done so for the current session.

  2. When appropriately licensed, you can select one of the following tabs to map CSA variables to predefined GoFileRoom indexes.
    • Reports. Available by default regardless of what CSA product licenses are installed.
    • Tax Forms and Checks. This tab is available when the appropriate Payroll Compliance module license is installed.
    • Engagement CS. This tab is available when the appropriate Engagement CS license is installed.
  3. From the drop-down list in the GoFileRoom Drawer field select a Drawer to which CSA client data is automatically sent when you choose to print a report from CSA, tax forms and checks from the Payroll Compliance module, or workpapers and documents from Engagement CS.
  4. In the CSA Property column of the Index grid, select the appropriate CSA variable from the CSA Property drop-down list for each corresponding GoFileRoom Index item that you want to map.
  5. Click OK to complete the Index Mapping process.

Fields & buttons

Use this tab to index CSA variables for reports to corresponding indexed items in GoFileRoom. This tab is available by default regardless of what CSA licenses you have installed.

Notes

  • You can mark the Combine multiple documents into a single PDF file checkbox to create a single PDF of the selected documents that you choose to print to GoFileRoom.
    • When marked on the Reports tab, only report profiles can be combined into a single PDF and sent to GoFileRoom. When left unmarked, reports are sent to GoFileRoom as separate PDFs even when they are part of a report profile.
  • GoFileRoom index items that are highlighted in blue in Index grid serve as a reminder that these are required index fields in GoFileRoom.
  • The drop-down list in the CSA Property column of the Index grid is populated with the following CSA variables from other areas of the program.

  • You can select [Custom Static Text] from the drop-down list in the CSA Property cell to enter a custom variable of up to 255 characters in the Custom Static Text cell of the Index grid that corresponds to a GoFileRoom index item.

Printing reports to GoFileRoom

You can choose to print reports to GoFileRoom from the Print Reports dialog in CSA.

Mark the Store image in checkbox in the Print dialogs for reports in CSA to send a PDF of the selected report(s) to GoFileRoom.

Use this tab to index CSA variables for tax forms and checks to indexed items in GoFileRoom. This tab is available only when the appropriate Payroll Compliance module license is installed.

    • When marked on the Tax Forms and Checks tab, only checks and payroll tax forms can be combined into a single PDF and sent to GoFileRoom.

Printing tax forms and checks to GoFileRoom

You can choose to print tax forms, payroll and vendor checks to GoFileRoom from the appropriate Print dialogs in CSA.

Mark the Store image in checkbox and select GoFileRoom from the drop-down list in the Print dialogs for tax forms and checks in CSA to send a PDF of the selected report(s) to GoFileRoom.

Use this tab to index CSA variables for engagement workpapers, documents, or whole engagements to corresponding indexed items in GoFileRoom. This tab is available only when the appropriate Engagement CS license is installed.

Notes

    • When marked on the Engagement CS tab, only individual workpapers and documents can be combined into a single PDF and sent to GoFileRoom. This option does not apply when you choose to send a whole engagements to GoFileRoom.

Printing individual workpapers or whole engagements to GoFileRoom

You can choose to print individual workpapers, documents, or whole engagements to GoFileRoom from Engagement CS.

Mark the Store image in checkbox and select GoFileRoom from the drop-down list in the Print Engagement dialog for forms and checks in CSA to send a PDF of the selected workpapers or whole engagement to GoFileRoom.
