Importing client data from QuickBooks Online

If your clients use QuickBooks Online, Workpapers CS enables you to import your client's account balances and the chart of accounts for processing in Workpapers CS.

Note: Intuit does not currently offer a way for Workpapers CS to import account segments (classes) from QuickBooks Online. Intuit may introduce this capability in a future release of QuickBooks Online.

If your firm runs Workpapers CS locally, you must have Microsoft Edge for the QuickBooks Online integration to work properly.

QuickBooks online integrates with VO and SaaS without using the QuickBooks Data Utility (QBDU).

  1. Choose File > Import > QuickBooks Online.

    Note: The first time you choose this command, the application displays the QuickBooks Online Integration license agreement. You must read the license agreement, mark the I accept the terms of the license agreement checkbox, and then click OK before you can continue. Once you accept the terms, the application will not display the license agreement again.

  2. In the QuickBooks Online Import dialog, select the client for whom you want to import data.
  3. Click the Connect to QuickBooks button, and then enter the appropriate user ID and password to log in to the client's QuickBooks Online account.

    Note: After you successfully log in, the Connect to QuickBooks button changes to a Disconnect button. The application keeps you logged in to the client's account until you click the Disconnect button. QuickBooks Online sends a security token to Workpapers CS, and that token is valid for 180 days. However, after 159 days, Workpapers CS automatically attempts to re-authorize the token.

  4. In the Import details section, mark the checkbox for the types of data to import.
  5. In the Import date range fields, specify the date range for which to import the client's data.
  6. Click the Retrieve data button to retrieve client data from QuickBooks Online. After Workpapers CS retrieves the data, it automatically opens the QuickBooks Online - Manage Data dialog, where you can map data to new or existing data in Workpapers CS.
  7. In the QuickBooks Online - Manage Data dialog, map the client's data from QuickBooks Online in each applicable tab. After you have mapped all items, click OK. If there is data ready for import, the application initiates the import process.

    Note: Every QuickBooks item must be mapped to a Workpapers CS item before the import can proceed. If any items have not been mapped, Workpapers CS will flag those items and include them in the error count in the Error navigation section.

  8. After the data has been imported, open the Setup > Chart of accounts screen in Workpapers CS to verify that the chart of accounts was imported correctly.

Note: You can open the QuickBooks Online - Manage Data dialog at any time to review and/or change the item mapping for future imports. The application will not change the mapping of any data that has already been imported.
