  1. Click the Dashboard button in the navigation pane.
  2. Click the Add Rule Add Rule button button in the Notification Rules portlet.

    Note: If you do not see the Notification Rules portlet, you can add it to the dashboard.

  3. Mark the checkbox for the type of rule that you want to create and click the Next button. 
  4. Mark the checkbox for the action you want to be notified about. For example, mark the when a note is added checkbox to be notified whenever a note is added to AdvanceFlow.

    Note: A preview pane displays your selections for the new rule at the bottom of each dialog in the Rules Wizard.

  5. Click the Next button.
  6. Optional: You can specify conditions for the action you selected. For each condition that you want to apply for the current action, mark the appropriate checkbox in the Condition list, click the link for the condition in the preview pane, select condition parameters, and click the Next button.
  7. Select who to notify by clicking the send notification to Assigned Staff, send notification to usersend notification to me, send notification to PIC, and/or send notification to role checkboxes. If you choose to notify a user and/or role, click the applicable links in the preview pane and specify the user and/or role to notify.
  8. Click the Next button.
  9. Optional: You can further control how notifications will be generated for this rule by selecting exceptions for the current action. For each exception that you want to apply, mark the appropriate checkbox in the Exception list, click the link for the exception in the preview pane, and select exception parameters (preceded by "except,").
  10. Enter a name for this rule.
  11. Optional: If you have appropriate permissions, you will see the Public checkbox, which you can mark to make this rule available to all AdvanceFlow users.


    • By default, rules are visible only to the user who creates them.
    • Administrators can assign the permission for users to make rules public in the Dashboard tab of the Roles workspace.
  12. Click the Finish button.

Note: To turn off email notification or alerts for a rule, clear the checkboxes in the Email Email column icon and/or Alert Alert column icon columns.
