When you finalize an engagement, you make its entire contents read-only and you delete information (such as history, notes, and workpapers) that is not needed for the final engagement.

Note: You can undo the finalize process, if necessary.

  1. In the navigation pane, click the engagement that you want to finalize.
  2. Click the Engagement administration Engagement administration button button.
  3. Click Finalize, and then click OK.
  4. In the Diagnostics dialog, mark the checkboxes for the sections you would like to include in a Finalize Diagnostics report and click the Create button to open the report in a new window.


    • You can print the report, save the report as a workpaper, or export the report to an Excel file.
    • Workpapers in AdvanceFlow that aren't available in GoFileRoom appear in the Unavailable workpapers section. For example, a GoFileRoom document that you added as an AdvanceFlow workpaper may have been deleted in GoFileRoom.
    • Outstanding workpaper warnings appear in the Workpaper warnings section. For example, if an AdvanceFlow user edited a workpaper after signoff, this event would be indicated in the Workpaper warnings section.
    • Journal entries with a type of "Proposed" appear in the Proposed journal entries section. You cannot update proposed journal entries after you finalize the related engagement.
    • Workpapers to be deleted during the finalization process appear in the Workpapers to delete section, as designated when you mark the Delete during finalize checkbox in the Workpaper properties dialog.
  5. Click the Close link to close the report.
  6. Click Next in the Finalization Engagement dialog to continue with the finalization process.
  7. The Proposed Journal Entries dialog lists any proposed journal entries that were entered in the engagement. This dialog is informational and does not require you to edit a journal entry type. This dialog provides an opportunity for you to cancel the finalization process and make edits to journal entries as needed. To delete the proposed journal entries from the finalized engagement, highlight the journal entry and click the Delete button. Click the Next button.
  8. The Notes dialog of the finalization process lists any engagements, folders, or workpapers in the engagement that contain open review notes. To view a note, select the note and click the View Note button.
  9. Click the Clear all notes button at the bottom of the list, and then click the Next button.

    Note: All notes are deleted from the engagement upon completion of the finalization process.

  10. The Unsigned Workpapers dialog includes any workpapers that are missing a level of sign off. To sign off on the workpapers, highlight each workpaper and click Properties. To Continue with unsigned workpapers select the option at the bottom of the list. Click the Next button.
  11. The Workpapers to Delete dialog displays a list of the workpapers that have been marked in the Workpaper Properties dialog for deletion during finalization. You can confirm the removal of any personal document, memo, or other item that should not be included with the final version of the engagement. Mark the Retail checkbox to keep the workpapers in the engagement. Click the Next button.

    Note: Deleted documents will appear in the Recycle Bin in GoFileRoom, if enabled. More information.

  12. To retain all AdvanceFlow history for the current engagement, mark the option to do so in the History dialog. All AdvanceFlow history will be deleted from the engagement unless this option is selected. Click OK.

    Note: If you do not mark the Retain History checkbox when finalizing an engagement, AdvanceFlow-specific history such as "Modified properties" is deleted for all workpapers in that engagement, but any workpapers that are also stored in GoFileRoom will retain GoFileRoom-specific history.

  13. Click Yes in the confirmation dialog to finalize the engagement.


  • Engagements that have been finalized are indicated by a locked engagement Finalized binder icon icon in the navigation pane.

    If you have appropriate permissions, you can unlock the contents of a finalized engagement by clicking the Engagement Administration button, clicking Unfinalize, and then clicking OK. Note that this procedure will not restore items that were deleted during finalization.

  • All workpapers in a finalized engagement are read-only.
  • All workpapers in a finalized engagement are archived in GoFileRoom.
  • All fields in the Engagement Properties and Workpaper Properties dialogs of a finalized engagement are read-only.
