Archiving FileCabinet CS data in Virtual Office CS or SaaS

FileCabinet CS provides the ability to archive older, seldom-accessed documents to a separate location to reduce space usage in the main location, improve performance, and lessen visual clutter on the screen. For information on the basic steps for archiving, see Archiving documents.

Virtual Office CS or SaaS offers two types of data storage space: active and archived. We allocate 4GB of storage space for each NetStaff CS portal that has access to applications through Virtual Office CS or SaaS. We allocate 500MB of space for each NetStaff CS portal that does not have access to applications through Virtual Office CS or SaaS. Additional premium active space is available. Storage space for archived Virtual Office CS or SaaS client data exists on the W:\ drive.

Store only ARCHIVED data on drive W:\, and not active data because the W:\ drive is slower and has less aggressive backup routines.

When archiving FileCabinet CS documents in the Virtual Office CS or SaaS environment, the archive must be created at W:\Cabinet_Archive. You can verify the archive location in the Archive tab of the Setup > Configuration dialog.

To access the archive without being prompted each time for the data location, change the FileCabinet CS Archive data path to W:\Cabinet_Archive in the File Locations tab of the Setup > User Preferences dialog.

Do not archive documents to your local drive (C$ on 'Client' (V:\)). The overhead for this process requires a significant amount of data to be written from the Virtual Office CS or SaaS servers over the internet, which can be time consuming and prone to failure, and may result in lost data. Even if you are able to create an archive on a local drive, only the workstation from which the archive is created is able to read the archive, and the process of reading the drive may be extremely slow and/or unusable. Alternatively, we recommend that you create the archive in the cloud (Y:\ or W:\ drive).

Note: The space you use on the W:\ drive is subject to billing.
