An embedded object differs from other items that you can store in FileCabinet CS. When an object is embedded in FileCabinet CS, you can edit that object from within FileCabinet CS using virtually all of the features of the object's source program.

For example, if you embed a Microsoft Word document, when you select the document in FileCabinet CS it will be displayed in the Watch window, and the menus and toolbars will change to those for Microsoft Word (with certain FileCabinet CS commands still available). You can make changes to the document, and then click anywhere in the Folders window to save the changes.

Note: If you embed an existing file from your local drive or network, changes you make to the embedded object will not affect the original file.

This topic explains how to embed into FileCabinet CS any file that originated in an application that supports Active Document Interface, such as Microsoft Word or Excel. (You can also embed existing PDF files.)

Method 1: Embed using the Object Menu

  1. Choose Object > Create from File.
  2. Choose the drawer ID in which you want to store the object.
  3. Click the Browse button and navigate to the file you want to store for the drawer.
  4. Highlight the desired file, and click the Insert button.
  5. The object name defaults to the name of the file. You may change the name of the object, if desired.
  6. Choose the document folder in which you want to store the object.

  7. Click the OK button.

Note: To embed multiple documents at one time, in step 4 above, use the SHIFT and/or CTRL keys to select multiple documents. You will be prompted to either store each document individually, or to store all the documents within the same Drawer and Folder(s).

Method 2: Drag and Drop into FileCabinet CS

  1. With FileCabinet CS open and with the Folders window expanded, reduce the size of the FileCabinet CS window, if necessary, so that you can also see your desktop and any open folders that contain items to be stored in FileCabinet CS.
  2. Left-click a file or email message, drag it to a drawer or folder in FileCabinet CS, and release the mouse button.

Note: To select multiple items, press CTRL while left-clicking the mouse.

  3. In the Embed or Print dialog, click the applicable option to embed the file, print a static copy of the file, or both.

  • The FileCabinet CS drag and drop feature supports Microsoft Outlook and Windows Live Mail.
  • To have images converted to PDF when dragging and dropping, mark the Convert images to PDF format during drag and drop from FileCabinet CS checkbox in the Setup > User Preferences > Misc tab.
  • On Virtual Office CS or Software as a Service, the drag and drop feature will only work from another Virtual Office CS or SaaS application or Window to another.  In order to drag and drop from your local machine into FCS on Virtual Office CS or SaaS it is recommended to create a custom link from which you can open that local directory using FCS. For more information on creating Custom Links on the Home Page see the "Adding custom links in the Home Page" topic in the Help & How-To Center.
