Sending client data, custom methods and reports, or system settings to a file

Perform the steps in this procedure to send Fixed Assets CS client data, custom methods and reports, or system settings (asset labels, data locations, import maps, and status system events) to an encrypted file that you can password-protect. Also, if your email service does not support Messaging Application Programming Interface (MAPI) protocol, use this procedure to save the documents to file, and then attach the files to an email message. If your email service does support MAPI protocol, you can choose File > Send to > Email Recipient.

  1. Choose File > Send to > File.
  2. From the Clients, Custom Reports, Custom Methods, or System Settings field, choose the type of item you want to send to file.
  3. In the Available pane on the left, highlight an item you want to send and then click the Select button to move it to the Selected pane on the right.
  4. Optional: If you want to password-protect the file, enter the desired password in the Password field and again in the Verify field.
  5. If necessary, click the Modify Destination button and then specify the location to which Fixed Assets CS will send the file.
  6. If Clients is selected in the Clients, Custom Reports, Custom Methods, or System Settings field, you can mark the "Check out" selected clients checkbox to indicate that you are taking the client's data home or to another locations. (To view information about the "Check out" selected client checkbox, see the Send to File Location dialog overview.)
  7. Click OK when all desired documents are listed in the Selected pane. Fixed Assets CS creates the file, places it in the specified location, and notifies you of the name of the file and folder in which it was placed.
  8. Optional: If necessary, open a new email message using AOL (or other non-MAPI-supporting service), and manually attach the file you created.

Note: The recipient of any client data, custom methods or reports, system settings, or updates must have Fixed Assets CS.

Tips

  • Click the words "Client ID" or "Name" or "Entity" in the title bar of either list pane to sort the list by that characteristic.
  • When you send client data, use the Focus listing group box at the bottom of this dialog to limit the clients that appear in the client listing.
