Accessing RecordsFlow reports

Note: Only authorised users can access RecordsFlow reports.

The following RecordsFlow reports are available.

  • RecordsFlow Policy Audit Log

    The RecordsFlow Policy Audit Log tracks all actions made in the Policy Management tab. This report provides the following information.

    • Policy name
    • Policy type (Purge, Keep, or Archive)
    • Action performed on policy (Create, Modify, or Delete)
    • User who initiated the policy action
    • Date and time of policy action
    • Summary of policy rules
  • RecordsFlow Processing History

    The RecordsFlow Processing History includes your firm's previously processed policies. This report provides the following information.

    • Policy action (Purge, Keep, or Archive)
    • First approver
    • Second approver
    • Date and time of policy action
    • Summary of policy rules
    • Number of affected documents
  • Recycling Bin Audit Log

    The Recycling Bin Audit Log reports all restoration and purging actions performed on the recycling bin contents. This report contains the following information.

    • Type of action (restore or purge)
    • Date and time the action was performed
    • The record manager who initiated the action
    • First approver
    • Second approver
    • Document index information

Follow these steps to access RecordsFlow reports.

  1. Choose Reports > Records Management in the GoFileRoom toolbar.
  2. Select the report you want to view by clicking the Report field and choosing the report type from the drop-down list.
  3. Click the appropriate link for more information.

    1. Select the desired drawer from the Drawer field.
    2. Enter a date or date range in the Date field.
    3. Select a user from the User field, if desired.
    4. Click the Search button.
    1. Select the desired policy from the Policy field.
    2. Enter a date or date range in the Date field.
    3. Select an approver from the Approver field, if desired.
    4. Click the Search button.
    1. Select the desired drawer from the Drawer field.
    2. Enter other search criteria as desired. The Date, User, and Deleting User fields are optional.
    3. Click the search button.
