Exporting documents from GoFileRoom

You can export documents from GoFileRoom one document at a time from Classic Search or Document Search for printing or other purposes.

In Classic Search (single document):

  1. Perform a search to locate the document you want to export.
  2. Tick the checkbox for the document in the Search Results screen.
  3. Right-click and choose Export Document from the context menu.
  4. You can now choose to open the document in its native application or save the document.

Document Search (single document):

  1. Perform a search to locate the document you want to export.
  2. Click the Export quick action button .
  3. You can now choose to open the document in its native application or save the document.

Document Search (multiple documents):

  1. Perform a search to locate the documents you want to export.
  2. Tick the checkboxes for the documents in the Search Results.
  3. Right-click and choose Export Document from the context menu.
  4. Click OK to confirm that you would like to export multiple documents.
  5. Open or save the zip file that is created to access the documents.

Notes

  • Editing files instead of exporting is still best practice. Exported documents are not checked out - the link to GoFileRoom is broken. Online versions of exported files will remain in GoFileRoom and can be edited by anyone with rights to do so, and downloaded files saved to GoFileRoom become new documents that do not replace existing ones.
  • Exported files are named with the indexes set by a firm GoFileRoom administrator and are the same established for emailing documents using Outlook. See Configuring Outlook email options for GoFileRoom for more details.
  • Exporting multiple documents is currently limited to 1GB per download.
  • To export multiple documents users must have the Allow user to work offline permission enabled, which is managed internally by a firm GoFileRoom administrator.
