The UltraTax CS Bar Code Scan utility has been discontinued for the 2023 Tax Year.

The UltraTax CS Bar Code Scan utility enables you to scan bar codes on W-2s and Schedules K-1 (for 1120S, 1065, and 1041 entities) that your clients submit for the preparation of their tax returns. Once the documents are scanned, you can accept the data into your UltraTax CS client data files via data sharing.

If you are running UltraTax CS through Virtual Office CS or SaaS, this topic explains how to install the UltraTax CS Bar Code Scan utility. Your bar code scanner must have a serial connection (standard RS-232) or USB connection to your computer and be able to decode two-dimensional (2D) bar codes in PDF-417 format to work with this utility.

Running the utility for a bar code scanner with a USB connection

Bar code scanners with USB connections work directly with the UltraTax CS Bar Code Scan utility when you run UltraTax CS through Virtual Office CS or SaaS.

1. Click the Applications link in the NetStaff CS tab of the navigation pane.
2. In the Virtual Office CS screen, click UltraTax CS YYYY, where YYYY is the tax year.
3. In UltraTax CS, choose Utilities > UltraTax CS Bar Code Scan to run the Bar Code Scan utility.

Using the utility with a bar code scanner with a serial connection

If your bar code scanner is connected to your computer via a serial connection, you must install the utility locally before you can run it, and specify the location of the utility before you can retrieve scanned data.

Installing the utility

To install the utility for a bar code scanner with a serial connection:

1. Click the appropriate link to install the UltraTax CS Bar Code Scan utility:
   • UltraTax CS 2022 Bar Code Scan utility
   • UltraTax CS 2021 Bar Code Scan utility
   • UltraTax CS 2020 Bar Code Scan utility
   • UltraTax CS 2019 Bar Code Scan utility
   • UltraTax CS 2018 Bar Code Scan utility
   • UltraTax CS 2017 Bar Code Scan utility
   • UltraTax CS 2016 Bar Code Scan utility
   • UltraTax CS 2015 Bar Code Scan utility
   • UltraTax CS 2014 Bar Code Scan utility
   • UltraTax CS 2013 Bar Code Scan utility
   • UltraTax CS 2012 Bar Code Scan utility
   • UltraTax CS 2011 Bar Code Scan utility
   • UltraTax CS 2010 Bar Code Scan utility
2. When you are prompted to save or open the file, click the Open button.

Running the utility

Once the installation is complete, you can start the utility by clicking Start on the Windows taskbar and choosing All Programs > CS Professional Suite > UltraTax CS YYYY Bar Code Scan (where YYYY is the tax year).

Specifying the location for the utility

Before you can retrieve scanned data, you must complete the following steps to specify the data location on your local hard drive for the UltraTax CS Bar Code Scan utility.

1. Click the Applications link in the NetStaff CS tab of the navigation pane.
2. In the Virtual Office CS screen, click UltraTax CS YYYY, where YYYY is the tax year.
3. In UltraTax CS, choose Setup > User Preferences.
4. Click the File Locations tab.
5. With the YYYY UltraTax CS option selected, highlight UltraTax CS Barcode scan in the File Types and Location list.
6. Click the Modify button and navigate to the location of the locally installed UltraTax CS Bar Code Scan utility; for example, V:\WINCSI\UT07scan. Note that C$ on ’Client’ (V:) is your local hard drive when working in the Virtual Office CS or SaaS environment.
