UltraTax CS with PRP licensing: Moving from SaaS to a local or a network installation

If your firm currently runs UltraTax CS in the SaaS environment and is preparing to move to a local or a network installation of UltraTax CS with per-return-pricing (PRP) licensing, we strongly recommend that you create PDF files of all returns that your firm filed while running UltraTax CS in the SaaS environment. Staff can then refer to these PDF files rather than opening the returns in prior years of UltraTax CS and incurring a PRP fee for each return they view.

Notes

  • If you are moving to a local or a network installation of UltraTax CS, you do not need to create PDFs of prior-year returns for any federal, state, or local entities for which you own an unlimited license. Because you have an unlimited license for these entities, your firm will not incur PRP fees when staff members access returns through prior-year versions of UltraTax CS.
  • SaaS users moving to a network installation of UltraTax CS will maintain access to the unlimited licenses only while SaaS is active. Once they move to a network installation, any returns and/or extensions submitted for filing using the network or local installation of UltraTax CS will be subject to the applicable PRP charge per the license agreement.
  • SaaS and local or network installations of CS Professional Suite products can't be run concurrently.

To create PDFs of returns, follow these steps.

  1. For each tax year for which you will create PDFs of returns, create a folder on your local hard drive named UTYYreturns (where YY is the tax year).
    1. Double-click the My Computer icon.
    2. Double-click the C:\ drive.
    3. Choose File > New > Folder.
    4. Name the folder UTYYreturns, where YY is the tax year.
  2. In NetStaff CS, open the first year of UltraTax CS through which your firm filed returns.
  3. In UltraTax CS, choose Utilities > Reassign Clients.
  4. In the Focus group box, verify that the following is true.
    • All checkboxes are marked.
    • (All Preparers) appears in the Preparer/staff field.
    • (All Delivery Methods) appears in the Delivery field.
  5. Click the Select All button to move all clients to the Clients selected pane.
  6. Select Return delivery in the Category field.
  7. Select File in the Return Delivery field, and then click the Reassign button.
  8. Choose File > Print Returns.
  9. In the Print where group box, mark the Printer checkbox.
  10. In the Print what group box, mark the Client copy checkbox and the Electronic delivery checkbox, and then click the PDF to file option.
  11. Click the browse button, navigate to the UTYYreturns folder for the appropriate tax year, and click OK.
  12. Optional: If you don’t want to password protect the PDFs, clear the Password protect PDFs checkbox. For information about how UltraTax CS generates passwords, see the UltraTax CS topic Setting passwords for tax returns delivered in PDF.
  13. Click the Clients button.
  14. In the Focus group box, verify that the following is true.
    • All checkboxes are marked.
    • (All Preparers) appears in the Preparer/staff field.
    • (All Months) appears in the Fiscal year end field.
  15. Click the Select All button to move all clients to the Clients to print pane, and then click OK.
  16. Click the Print button.
  17. Repeat steps 2 – 16 for each tax year for which you need to create PDFs of tax returns.
