Viewing and reprinting historical invoices

Show expandable text

It is often helpful to view or reprint previous invoices for a client. Practice CS provides several locations where you can view historical invoices.

Prior Invoices portlet on the Client Dashboard

In this portlet, you can perform the following actions:

  • Preview invoices
  • Print invoices
  • Open invoices in the Detail Billing screen

Note: If an invoice is posted or there is a credit applied to it, you can view the detail billing screens for the invoice, but depending on your firm’s security settings, you may not be able to modify it.

  • Edit the Date, Due Date, Notes, Office or Reference

    Notes

    • If you select multiple invoices you can change them with a single edit.
    • Depending on your firm’s security settings, you may not be able to edit an invoice that is posted or has a credit applied to it.
  • View the individual WIP transactions billed on an invoice

Note: To show the individual WIP transactions, right-click and choose Show Options. In the Options panel, mark the Show Details checkbox. The application will display, at the bottom of the portlet, the details for the selected invoice.

  • Print the content of the portlet (right-click and choose Print Grid from the context menu)

Note: The Client Dashboard can be accessed directly from Detail Billing by clicking the link at the bottom of any tab in Detail Billing.

Review tab of the Billing screen

On this tab, you can perform the following actions:

  • Find a specific invoice by using the Search field at the top of the tab
  • Filter the tab for a specified set of invoices, such as those within a specified date range or for a specific client
  • Filter the tab to show only invoices that are unapproved and/or unposted — click the Unapproved only and/or Unposted only checkboxes in the upper right corner of the tab

Note: This feature is available only if your firm uses the Approval/Posting process for billing.

  • Approve and post invoices

Note: This feature is available only if your firm uses the Approval/Posting process for billing.

  • Unapprove and unpost invoices

Note: This feature is available only if your firm uses the Approval/Posting process for billing.

  • Preview invoices
  • Print Invoices
  • Open invoices in Detail Billing

Note: If an invoice is posted or there is a credit applied to it, you can view the detail billing screens for the invoice, but depending on your firm’s security settings, you may not be able to modify it.

  • Edit the Date, Due Date, Notes, Office or Reference

    Notes

  • Delete Invoices

Note: You cannot delete an invoice that is posted or has a credit applied to it.

  • View and print an Invoice Journal report for the invoices displayed on the screen (click the Journal button in the upper right corner of the screen)
  • Print the entire contents of the screen (right-click and choose Print Grid from the context menu)

Invoice Journal Report

This report can produce a list of invoices with the following features and options:

  • Filter the report on variables related to invoices and clients
  • Group the report on variables related to invoices and clients
  • Include the WIP detail for each invoice
  • Open the invoice in Detail Billing by clicking it in a report preview

Note: If an invoice is posted or there is a credit applied to it, you can view the detail billing screens for the invoice, but depending on your firm’s security settings, you may not be able to modify it.
