Practice CS: How to send a mass email to clients

Show expandable text

You can send bulk email to your Practice CS clients by creating a list of contacts to email, exporting that list to Microsoft Word, and using Microsoft's mail merge feature to create the message and send the email.

Requirements

For this process to work, you must have:

  • A mail merge format in Practice CS or access to the Practice CS Library portlet
  • Access to Practice CS File > Print Reports
  • Microsoft Word
  • Microsoft Excel
  • A MAPI compliant email program like Microsoft Outlook

Instructions

Most of the steps happen within Microsoft Word. A full set of instructions on using mail merge is available on Microsoft's support site: Use mail merge to send bulk email messages.

Download the Excel Mail Merge

  1. In Practice CS, go to View > Home Dashboard.
  2. Click the Practice CS Library tab.
  3. Click the Custom Formats link at the top of the library.
  4. Scroll down the list of reports to find an Excel Mail Merge report.
  5. Click the green arrow next to the report to import it.
  6. Click OK on the message that the file was successfully imported.

Create the list of clients to email

  1. In Practice CS, go to File > Print Reports.
  2. Select the Excel Mail Merge format.
  3. Now you can filter the report for the clients you want to email. All the clients who are listed on the report will be the clients you email.
  4. Once the report is filtered, click Print Selected.
  5. Choose Output to File as the destination.
  6. Choose Microsoft Excel (.xls) as the format.
  7. Browse to a destination to save the file.
  8. Click OK.

Create the mail merge in Microsoft Word

The Excel Mail Merge format that you just printed to .xls format is the list of clients that you will use in Microsoft Word. The rest of the process takes place within Microsoft Word, so you need to follow the instructions on Microsoft's support site: Use mail merge to send bulk email messages.

In the Microsoft support article, there are references to your "mailing list". The mailing list is the Excel Mail Merge you created in Practice CS. If you have questions about the rest of the process, refer to Microsoft support for more information.
