How to mark a NetClient CS invoice as paid

When an invoice is sent from Practice CS to a NetClient CS portal, it appears in the Open tab of My Invoices. One the invoice is marked as paid, it is moved to the Paid tab.

Mark as paid

A NetClient CS invoice can be marked as paid one of three ways.

When the client pays the invoice through NetClient, a receipt is automatically created in the Integrated Receipts tab of the Receipt & Adjustment Entry screen. When the receipt is accepted, the invoice is automatically marked as paid in NetClient CS.

To accept the receipt:

  1. In Practice CS, choose Actions > Receipt & Adjustment Entry.
  2. Click the Integrated Receipts tab.
  3. Choose a control date using the Apply receipts to Control Date drop-down.
  4. If applicable, choose a bank account using the Assign receipts to Bank Account drop-down.

  5. Put a checkmark next to the receipt and click the Accept Selected button.

If the client pays the invoice using a method other than via the NetClient portal (via a mailed check, for example) or if you want to apply a credit memo or write-off to the invoice, you must manually enter a receipt or adjustment entry in Practice CS. When you apply the receipt or adjustment to the invoice, you can right-click the invoice in the Applied Amounts dialog and choose Mark as paid in NetClient CS.

Marking the NetClient invoice as paid does not automatically apply a receipt or adjustment entry to the invoice. It only moves the NetClient invoice from the Open tab to the Paid tab in the NetClient CS portal.

To manually create a receipt or adjustment entry and mark the invoice as paid:

  1. In Practice CS, choose Actions > Receipt & Adjustment Entry.
  2. Choose the Receipt tab or the Adjustment tab and create a new entry to be applied to the invoice.
  3. Open the Applied Amounts dialog using the ellipsis button between the Amount and Applied Amount columns.
  4. Find the NetClient invoice in the list of invoices and enter the amount you wish to apply in the Applied Amount column.
  5. Right-click the invoice and choose Mark as paid in NetClient CS.

You can mark the invoice as paid in the Review tab of the Billing screen.

Marking the NetClient invoice as paid does not automatically apply a receipt or adjustment entry to the invoice. It only moves the NetClient invoice from the Open tab to the Paid tab in the NetClient CS portal.

To mark the NetClient invoice as paid in the Billing screen:

  1. In Practice CS, choose Actions > Billing.
  2. Click the Review tab.
  3. Find the NetClient invoice. If your firm uses approval and posting for billing, unmark Unapproved only and Unposted only in the upper-right corner of the screen.
  4. Put a checkmark next to the NetClient invoice, then right-click it and choose Mark as paid in NetClient CS.

Mark as unpaid

If a NetClient CS invoice was mistakenly marked as paid or you want to move it back to the Open tab for any reason, go to either the Billing Review tab or the Applied Amounts dialog in Receipt & Adjustment Entry, right-click the invoice and choose Mark as unpaid in NetClient CS. For step-by-step instructions, refer to option 2 or 3 above but choose Mark as unpaid in NetClient CS instead of Mark as paid in NetClient CS.

Remove from NetClient CS

To remove an invoice from NetClient CS, go to either the Billing Review tab or the Applied Amounts dialog in Receipt & Adjustment Entry, right-click the invoice and choose Remove from NetClient CS. For step-by-step instructions, refer to option 2 or 3 above but choose Remove from NetClient CS instead of Mark as paid in NetClient CS.
