Follow this procedure to print federal and state extension forms for one client or for a batch of clients.

UltraTax CS prepares Form 8868 for Forms 990, 990-EZ, and 990-PF. UltraTax CS also prepares Form 8868 for Forms 990-T and 4720 if unrelated business income has been entered on Form 990-T and/or excise tax information on Form 4720, or if an extension has been requested for Forms 990-T and 4720 in Screen Ext (990E) or ExtPF (990PF).

Notes

  • The information that prints on the extension form is determined by whether you entered tax information in UltraTax CS to calculate the preliminary tax amount for the extension. Additionally, the extension produced may depend on the options selected in the Print Options dialog, accessed by clicking Options in the Print Extensions window. In the Print Options dialog, click the Extension Print Options tab to confirm First extension has been selected for your Federal Return.
  • This procedure prints one copy of the extension following the government collation defined in the Return Collation dialog. If desired, you can modify this collation. For example, to prevent the extension transmittal letter and extension filing instructions from printing with the extension, change the print condition for the extension transmittal letter and extension filing instructions to Never in the government collation in the Return Collation dialog in Setup > 990 Exempt Organizations.
  • UltraTax CS will not generate Form 8868 for 990-T unless there is sufficient data entry to calculate Form 990-T. To generate Form 8868 for 990-T when Form 990-T is not calculating, mark Print Form 990-T (Force) on Screen OthInfo in the General folder. Alternatively, enter an amount in the Balance due on Extension (Force) field on Screen Ext or Screen ExtPF.
  1. Open the UltraTax CS client for whom you want to file an extension. If the client does not yet exist in the current-year application, proforma a prior-year client or add a new client.
  2. To print an extension with a tax amount or balance due, do the following:

    • If applicable, retrieve general ledger balances from Write-Up CS, Trial Balance CS, Accounting CS, or other third-party software for each client for whom an extension should be filed.
    • Enter any additional information in the extension screen.
    • Access other input screens as needed to enter the preliminary tax data you want UltraTax CS to use for the calculation of the tax.

    Note: If you print an extension without a tax amount or balance due, only the client’s name, address, and Employer Identification Number (EIN) print on the extension form.

  3. Each client’s name, address, and extension date prints on the form. For an extension of Form 990, 990-EZ, or 990-PF, UltraTax CS assumes an extended date depending on the organization type indicated in Screen 990 or 990PF. For an extension of Form 990-T, UltraTax CS assumes an extended date depending on the organization type indicated in Screen 990 or 990PF. If a date other than the default date is required, enter the dates in Screen Ext or ExtPF.

    Note: If you plan to electronically file the extension, enter information in the Books in care of dialog screen on Screen OthInfo (for 990 returns), Screen Ques-PF (for 990-PF returns) or by completing officer information in the Officer Information window and specifying an officer as the person responsible.

  4. To suppress creation of the extension for certain forms, do the following.
    • For Form 990 or Form 990-EZ, enter X in the Suppress extension for Form 990 or Form 990-EZ field in Screen Ext.
    • For Form 990-PF, enter X in the Suppress extension for Form 990-PF field in Screen ExtPF.
    • For Form 990-T, enter X in the Suppress extension for Form 990-T field in Screen Ext or Screen ExtPF.
    • For Form 4720, enter X in the Suppress extension for Form 4720 field in Screen Ext or Screen ExtPF.
  5. Choose File > Print Extensions to open the Print Extensions dialog.
  6. Click the Options button to open the Print Options dialog.
  7. By default, UltraTax CS prints the first extension for the federal and state returns. To print only the federal extension, verify that only the Federal checkbox is marked in the Selected Returns tab. To print a second extension for any State which may require one, go to the tab Extension Print Options.

    Note: If your security configuration allows for user-defined print options, you can set various print options for all extensions printed from this workstation.

  8. To print extensions for clients other than, or in addition to, the current client, click the Clients button and select the clients for whom the extensions should print.
  9. Click the Print button.

    Notes

    • When you prepare the extended return, if the extension was printed without any tax amount or balance due, you must enter the amount of any preliminary tax paid in the Paid with extension field in Screen EstT or EstPF. If UltraTax CS calculated the balance due with the extension, that amount automatically appears in the Paid with extension field unless you have entered a different amount.
    • UltraTax CS defaults to the previous extension print selection, so you may need to reset your extension print options. If you are prompted that "The selected clients will not be printed because their entity does not support the extension selected" when you print or create an electronic extension, choose File > Print Extensions, mark the Create electronic file checkbox, click the Options button, click the Extension Print Options tab, and confirm that First extension is selected in the Which group box. Federal extension will only print when the First extension is selected.
    • After the second extension is printed, the option to print a second extension will remain selected on the Extension Print Options tab from step 7. You will need to change this back to First extension in order to print a first extension for your states and the Federal extension.
