What are PRP codes?

Per-Return Pricing (PRP) codes are part of the payment process for Per-Return Pricing. If you want to learn more about the licensing and billing for Per-Return Pricing, visit Per-Return Pricing licenses and billing.

Per Return Pricing is a licensing option for UltraTax CS. With a PRP License, you pay a fee for each return you prepare that is not covered by an unlimited license.

This article explains how PRP codes work in UltraTax CS, not whether you need a PRP code at all. Whether you need a PRP code depends on your license.


How do PRP codes work?

PRP codes are used to track your PRP account transactions and tie each transaction to the client you're paying for. Here's the process:

  1. Enter a TIN in UltraTax CS for the client. Click here to jump down to the TINs and PRP codes section of this article.
  2. For state returns, add the state to the client.
  3. Download a PRP code. You need to do this before you ever preview, print, or file the return. Click here to jump to the instructions.
  4. Right away, the code is assigned to the client in UltraTax CS and added as a pending transaction to your account.
  5. Every month, you’ll be invoiced for the codes you downloaded since your last invoice.

Licenses

Before you start, you'll need to download your licenses in UltraTax CS. If you don't, you might accidentally download PRP codes you don't need. To download your licenses, go to Help > About UltraTax CS and click the Download Licenses button. 


Virtual Office CS and Software as a Service (SaaS) firms

Before you can download PRP codes, you need to switch on the states you don't have unlimited licenses for.

  1. In UltraTax CS, choose Setup > System Configuration > Activate State Products tab. 
  2. Put a checkmark next to the states you don't have unlimited licenses for.
    • If a checkbox is grayed out with a checkmark in it, you have an unlimited license for that state.
    • If a checkbox is grayed out with no checkmark, someone else at your firm marked it while you were logged in. Close and re-open UltraTax CS and the box should switch to checked and un-gray.
  3. Click OK.

The change takes affect for others at your firm once they close and re-open UltraTax CS.


TINs and PRP codes

Each PRP code is tied to the TIN (SSN, EIN, or ITIN) for the client.

  • Enter the TIN for the client in UltraTax CS before you download a PRP code.
  • If the TIN changes, you need to download a new code. Then request a refund for the original code by submitting a PRP refund request form.

Client has no TIN

If the client has no TIN, you’ll need to call Customer Support to get the PRP instead of downloading it. Call 800.968.0600, press option 2 for Customer Support, then option 1 for CS Professional Suite.

If the TIN changes

If the SSN, EIN, or ITIN changes after you download the PRP:

  1. In the client, go to File > Client Properties.
  2. Go to the Federal or state tab you downloaded a PRP code for. If there are multiple returns with PRP codes, go to each tab.
  3. Delete the code from the PRP code field on each tab. 
  4. Download a new code. Click here to jump to the instructions.
  5. Request a refund for the original code by submitting a refund request form.

Download a PRP code

  1. Open UltraTax CS.
  2. If you haven't already, enter a TIN in the client. To do that, open the client and go to File > Client Properties.
  3. Choose Utilities > CS Connect.
  4. Switch the Per Return Pricing: ($) Acquire PRP authorizations option to Yes. If you can't click the switch, see the CS Connect switch is grayed out section of this article.
  5. Click the PRP tab.
  6. Select the client you need a PRP code for. If you don't see the client you want, see the Client missing from CS Connect PRP tab section of this article.
  7. If there are clients selected on the right that you do not want to download PRP codes for, remove them.

  8. Click Connect.

Automatic downloads

When you go to CS Connect > PRP tab, some clients might already be selected. This means codes for those clients will download on your next CS Connect call.

  • To remove a client, highlight it and click the Remove button.
  • Clients automatically selected:
    • Clients currently open by anyone at the firm
    • Clients with a new PRP state
    • Clients with a new PRP preparer block
    • Clients without a TIN or clients that already have a PRP code aren't selected.

If you use the Proforma States button in Help > Repair, all state returns from the prior year are added to all clients. Every state return added to a client with a TIN for the states you use PRP licenses for will be automatically selected.


Charges for re-downloading

You'll only be charged again if the TIN or return type has changed. If those haven't changed, you'll get the same PRP when you re-download and there won't be any additional charges. 

If the TIN or return type did change:

  1. In the client, go to File > Client Properties.
  2. Go to the Federal or state tab you downloaded a PRP code for. If there are multiple returns with PRP codes, go to each tab.
  3. Delete the code from the PRP code field on each tab.
  4. Download a new code. Click here to jump to the instructions.
  5. Request a refund for the original code by submitting a refund request form.

View, delete, or change a PRP code

Open the client, go to File > Client Properties, and look for the PRP code field. There is a PRP code field on each Federal and state tab.

  • If you downloaded a code, it shows up here automatically.
  • To manually enter a code, you can type it in.
  • To delete the code, click the box and hit DELETE or BACKSPACE.

Refunds

If you need a refund for a PRP, fill out the PRP refund request form.


PRP preparer blocks

If you want the preparer block on a return to be different from the typical firm information, use a PRP preparer block.

  1. Add a PRP preparer block in Setup > System Configuration > Firm tab > PRP Preparer Block button. You won't be charged at this point.
  2. Choose which preparer block you want for a client in File > Client Properties > Preparer block field.
  3. Download a PRP code.

CS Connect PRP list

UltraTax CS keeps a list of clients that need PRPs. Clients are added to the list if they have all of these: 

  • A TIN (SSN, EIN, or ITIN)
  • A PRP product in File > Client Properties (Federal, state, or a PRP preparer block) 
  • A blank PRP code field in File > Client Properties for the PRP product. There is a separate PRP code field on each product tab.

You can delete a client from the PRP list.


CS Connect PRP switch is grayed out

UltraTax CS keeps a list of clients that need PRP codes. If there are no clients in the list, the Per Return Pricing: ($) Acquire PRP authorizations option in CS Connect is grayed out. If you think there should be some PRP codes to download, check the steps in the Client missing from CS Connect PRP tab section.

1. Check the client

  1. In the client, go to File > Client Properties.
  2. Make sure there's a TIN entered.
  3. If you need a PRP for a state return, make sure that state is added to the client. Click the Add State(s) button to add one.
  4. Check the PRP code field on the Federal tab and each state tab.
    • There are separate codes for each product, so check every tab (both Federal and state).

    • If there's a code there, you might be all set. You only need a new code if the TIN or return type changed. Otherwise, you should be able to preview or print with the code that's there.
    • If you need a new code for whatever reason, delete the code in the PRP code field.

2. Check your licenses

  1. Choose Help > About UltraTax CS.
  2. In the list of products, see if the product you need a code for has an unlimited license or a PRP license.
    • If it says Unlimited, the program doesn't think you need a PRP code. If you're supposed to have a PRP license, either click the Download Licenses button to install the PRP license or call Customer Support at 800.968.0600 to check your licensing with us.
    • If it says PRP, that just confirms that you do have a PRP license for the product. Move on to the next step. 

3. Refresh the list

Choose Help > Repair > Misc tab and click the Update PRP Request Listing button. This might take some time depending on the size of your client database.


Delete a client from CS Connect PRP tab

If you see a client in the PRP list (on the PRP tab in CS Connect) that shouldn't be there:

  1. Choose Utilities > CS Connect > PRP tab.
  2. Highlight the client(s) return(s).
  3. Click the Delete button.
  4. Click Yes to confirm.

The client will be added back if you:

  • Open the client
  • Preview the client's return
  • Open the Client Properties dialog while the client is open.

To permanently remove a client’s state return from the list, delete the state return itself in File > Client Properties. Deleting the state will delete any data you entered in that state’s input screens.


Refresh the list of clients in the CS Connect PRP tab

Choose Help > Repair > Misc > Update PRP Request Listing. This might take some time depending on the size of your client database.

If that doesn't work:

  1. Go to X:\WinCSI\UTYYData\$SysData.
  2. Locate the prplst.dat file and rename it to prplst.old.
  3. In UltraTax CS, choose Help > Repair >Misc. 
  4. Click the Update PRP Request Listing button.
Note: If you receive the error, U:\UTYYdata\$SysData\Prplst.dat contains an incorrect path. [fcn:MapFileCore:: serializeIn (CArchiveException), complete the above steps.
