UltraTax CS: Creating a report of clients who have logged a customized status event

UltraTax CS contains a number of pre-supplied reports, referred to as Client Listing Reports, that contain commonly needed client information, such as contact information or the type of returns that were filed for the client. These reports can be filtered by the status events logged for the client. This includes both status events automatically logged by UltraTax CS and Custom Status Events created and logged by the firm. This allows reports to be produced for clients that meet specific criteria, for example, a list of clients that were sent Web Organizers, or who have had their extension electronically filed and accepted. It is also possible to use multiple status events so that a list of clients that have been sent a Web Organizer, but for whom a Web Organizer was never retrieved, can be produced.

To use the Modify Event button within the Focus group box to identify clients who have logged a particular Status Event, follow the steps below.

  1. In UltraTax CS, choose Utilities > Client Listing Reports to open the main Client Listing Reports window.
  2. In the Client Listing Reports window, select the proper report. For this example, select General Client Information and then click the Continue button.
  3. In the Select Clients for Report dialog, click Modify within the Focus group box.
  4. In the Modify Event Focus window, select Logged and then click the drop-down list in the at event field. Click the + sign by each event type to expand the list of events of that type.  For Custom Status Events created by the firm expand the User-Defined type. Select the appropriate event and click Ok.
  5. After the Event modification is complete, the Select Clients for Report window will react in one of two ways.
    • If no clients have had the event logged, the left side of the window will not display any clients.
    • If one or more clients have had the event logged, the left side of the window will display these clients. Click the Select All button to generate a report for these clients. 
  6. Click Preview to view a report based on the selected status event.

Creating a report using multiple Status Events

Below is an example of using two status events to produce a report. Although two events tracked by UltraTax CS are used, it is also possible to do so with Custom Status Events. For example, if Custom Status Events such as Completed and Reviewed are created to track the preparation of returns, it is possible to produce a report that lists all clients that have been completed, but not reviewed.

  1. In UltraTax CS, choose Utilities > Client Listing Reports to open the main Client Listing Reports window.
  2. In the Client Listing Reports window, select the proper report. For this example, select General Client Information  and then click the Continue button.
  3. In the Select Clients for Report dialog, click the Modify button within the Focus group box.
  4. In the Modify Event Focus window, select Logged and then click the drop-down list in the at event field. Click the + sign by Organizer Events to expand the list and select Organizer Web sent.
  5. Click the Another button and then click the drop-down list next to Logged and select Not Logged. Then click the drop-down list in the at event field and select Organizer Web retrieved. Then click the OK button.
  6. After the Event modification is complete, the Select Clients for Report window will react in one of two ways.
    • If no clients have had the events logged, the left side of the window will not display any clients.
    • If one or more clients have had the event logged, the left side of the window will display these clients. Click the Select All button to generate a report for these clients. 

    Note: The report may be further modified to show, for example, only 1040 clients, or only clients assigned to a specific preparer. To do so, use the options in the Focus group box. For example, by clearing all the checkboxes except for 1040 and making a selection in the Preparer/reviewer/staff field the report will only show 1040 clients assigned to a specific preparer that were sent a web organizer, but have not had a web organizer retrieved through CS Connect.

  7. Click Preview to view a report based on the selected status events.
