Printing documents to File Drawer

You can send PDF versions of tax returns, extensions, and other printable items to File Drawer if you have licensed and installed UltraTax CS, but have not licensed and installed FileCabinet CS or GoFileRoom. Follow these steps to send images to File Drawer for storage.

  1. Choose File and select what you would like to print (for example, Print Returns or Print Extensions).
  2. In the Print Destinations group box, and use the File Drawer drop-down list to choose the desired File Drawer data path (if applicable). If the File Drawer option is not available, verify you do not have FileCabinet CS installed and you do not have a license for the full version.

    Tip: To send a document to both File Drawer and your printer simultaneously, mark both the Printer checkbox and the File Drawer checkbox. The To Drawer button becomes the Print button.

  3. Mark the Preparer copy and File Drawer checkbox.

    Note: The options you set in the Setup > [Entity] > Tax Return > Preparer tab are used to determine the content of the copy of the tax return sent to File Drawer. To further customize the copy of the tax return sent to File Drawer, click the Options button in the Print dialog, and then click the Selected Pages tab of the Print Options dialog.

  4. Select the clients for whom you want to send the selected item.
  5. If desired, mark the Log Event checkbox and select the status event you want to log when the item is sent.
  6. Click the To Drawer button (or the Print button if you marked the Printer checkbox) at the bottom of the dialog.

    Note: If you choose to print a copy of the return in addition to sending the document to File Drawer, you can click the Preview button to preview the item you are sending and printing. It is important to remember that clicking the Print Page or Print All buttons in the preview window does not send documents to File Drawer; you must click the Print button on the Print Returns dialog.

  7. The FileCabinet CS Documents dialog opens and displays a list of the documents being sent to File Drawer. If you are sending a document that is named the same as one already stored in File Drawer, an X will appear next to the document name. To avoid overwriting a document currently stored in File Drawer, use this dialog to rename the document you are sending or mark the Rename duplicate names to prevent overwriting checkbox on the FileCabinet CS Documents dialog. All returns attached to the client are selected by default. To print only selected returns, clear the checkboxes of the returns you do not want sent to File Drawer.
  8. Click OK to send the document to File Drawer and close the open dialogs.

Tip: To view the File Drawer documents for an open client, click the Drawer button in the folders block.
