Complete the following tasks to send tax returns to clients as Portable Document Format (PDF) files and to password protect PDF files that you send to clients via email.

Using a MAPI-compliant email service

If your email service supports Messaging Application Programming Interface (MAPI) protocol, follow these steps to create and send PDF files of tax returns to clients via email.

  1. Choose Setup > Client Communications, enter the client's email address, select Email (PDF) as the return delivery method.
  2. Click the Password button in the Client Communications dialog and specify the password for the client's return. Click OK when you are done.

    Note: We recommend you use the default options in the PDF Password Delivery Options dialog to have UltraTax CS explain the electronic delivery password.

  3. Choose File > Print Returns.
  4. In the Print Returns dialog, mark the Client copy and the Electronic delivery checkboxes, and then click the Email PDF option.

    Note: Ensure that the Password protect PDFs checkbox is marked on the Print Returns dialog.

  5. Click the Clients buttons to select the client to whom you want to send the tax return. Then, click the Select and OK buttons.
  6. Click the Email button and click OK when prompted.

Using a web-based email service

If your email service is not MAPI-complaint, follow these steps to create and save PDF files of client tax returns.

  1. Choose Setup > Client Communications, select File (PDF) as the return delivery method, and click the Password button to set password specifications. Click OK when you are done.
  2. Choose File > Print Returns.
  3. In the Print Returns dialog, mark the Client copy and Electronic delivery checkboxes, and then click the PDF to file option.
  4. Choose a file location where you want to save the PDF file of the tax return.
  5. Click the Clients buttons to select the client to whom you want to send the tax return. Then, click the Select and OK buttons.

    Note: Ensure that the Password protect PDFs checkbox is marked on the Print Returns dialog.

  6. In the Print Returns dialog, click the Assemble button to create and save the file to the location you specified.
  7. In the File PDF Status dialog, click the Open Target Folder to open the folder in which you saved the PDF file of the tax return, or click OK to close the dialog.
  8. Manually attach the PDF file to an email message using your web-based email service.

    Note: You will need to indicate that the PDF file is password-protected and provide password information.
