Verifying imported spreadsheet data

Before the data in the Import Spreadsheet grid can be imported into the statement columns specified in the column mapping, UltraTax CS must verify that the data is appropriate for the type of column. The Import Spreadsheet - Step 2 of 2 dialog will display a red border around each cell containing invalid data. You can edit the data on the grid before importing, but note that any data changed in the grid will not be written back to the source file.

If you click the Import button before correcting the invalid data on the Import Spreadsheet - Step 2 of 2 dialog, the Data Verification dialog opens, prompting you to edit the values in the invalid cells.

  1. The Cell data field in the Data Verification dialog displays the data that did not pass data verification. The reason for the error is displayed in the Cell Data Status field below it.
  2. Use the Cell data field to edit the invalid information. The Cell Data Status field will indicate that the data is valid once it is corrected. Review the examples of data that must be verified

    Certain spreadsheet values must conform to specific formatting to ensure that the data is imported into UltraTax CS correctly.

    • Some UltraTax CS statement columns require that you make a selection from drop-down list, and will not accept any values not contained in the list. For example, the T/S/J column will accept only T (for taxpayer), S (for spouse), or J (for joint). If data is imported into the T/S/J column, the data verification process requires that only T, S, or J be imported. Any other values will be marked as invalid.
    • UltraTax CS accepts percentages in a format of xxx.xx, meaning that "16.2%" is entered as "16.2." Since this same percentage is entered into Excel as ".162," the data verification process will convert percentages into the format that UltraTax CS accepts. Percentages must be formatted as percentages in Excel to ensure that the data remains accurate after the import.
    • Verify that certain numbers are in the correct format. For example, Social Security numbers should be in the xxx-xx-xxxx format.

    Note: To skip a cell without modifying the invalid data, click the Next Cell button. To ignore all invalid data and continue with the import, click the Import button. If you proceed with the import, all invalid data will not be included with the import, and the corresponding fields will be left blank in the UltraTax CS statement dialog.

  3. If you find that all data in a row or column is invalid and you want to omit the row or modify a column's mapping, click Cancel to close the Data Verification dialog and return to the Import Spreadsheet - Step 2 of 2 dialog.
  4. Once you have corrected or omitted the invalid data, click the Import button to transfer the spreadsheet data into the UltraTax CS statement dialog. If the statement already contains data (from a previous spreadsheet import, proforma, data sharing, an accounting data import, or manual data entry), you will be asked whether you want to append imported data to existing data, replace all existing data with imported data, or replace only previously imported data with the new spreadsheet data.

    After the transfer is complete, the statement dialog will open and display the data that you just imported. Each row that was imported will have an Excel icon next to the row number to signify that it was imported from a spreadsheet. If necessary, you can edit any imported data in the statement dialog.
