For licensed users of Accounting CS Workpapers

There are two methods in Accounting CS Workpapers that enable staff to work in audit-type engagements outside of the office without a connection via terminal server, Virtual Office CS, Software as a Service (SaaS), or peer-to-peer network.

Method 1 - Disconnect and return workpapers via the wizards

Use this method when the Trial Balance is not required in the field

Disconnect selected workpapers from the engagement binder via the Disconnect Workpapers wizard, update them in the field via their native application (e.g., Microsoft Word or Microsoft Excel), and then return them to the engagement binder via the Return Workpapers wizard.

Notes

  • To access this feature you must be licensed for and have installed Accounting CS Workpapers, version 2014.1.2 or higher.
  • PPC's SMART Practice Aids that are linked to the engagement cannot be disconnected and reconnected to the engagement binder. If a SMART Practice Aid document is disconnected from the engagement binder, the link is broken and they become regular unlinked Microsoft Word and Microsoft Excel workpapers.

Method 2 - Check out and check in the client data

Use this method when the Trial Balance needs to be updated in the field

  1. Check out the client via the Client Data Management Utility, and check in the client in Accounting CS Workpapers on a fieldwork laptop that has the same version of the application installed.
  2. Use the Fieldwork Utility to attach the fieldwork laptop to the database at the client's office.
  3. Restore the client's local database to the fieldwork laptop, enabling you to access the trial balance and update audit-based workpapers, as necessary.

Note: After completing tasks in the field, we recommend that you create a backup of the client on the fieldwork laptop via the Client Data Management Utility.

  4. Back at the office, re-attach the fieldwork laptop to the local database via the Fieldwork Utility.
  5. Check in the client's database at the office via the Client Data Management Utility.

Note: As a best practice, PPC's SMART Practice Aid's should be installed on one local machine (the server machine in a peer-to-peer network) in the field because individual workpapers cannot be backed up and restored if the application is installed on separate machines. This enables staff working in the field to create a back up from the network version of PPC's SMART Practice Aids, and then restore it into the local version. All other machines in the field should point to the server machine to work in the application.
