Use the Other W-2 Items dialog to add W-2 Box 12 codes and amounts and Box 14 custom descriptions and amounts to an employee W-2 on the fly.

As an example of how this may be useful, you can add the amounts for Box 12 code DD - Cost of employer-sponsored health coverage to an employee's Form W-2, because those amounts are not generally included in an employee's check stub.

Note: Entries made in this dialog affect only Box 12 and/or Box 14 of the W-2 form. Certain codes require that other boxes are affected (Code C - Taxable Cost of Group Term Life > 50k, for example). For codes like this, you will need to set up a payroll or deduction item with the desired W-2 boxes and tax treatment selected.

Choose Setup > Employees, click the Personal tab, and then click the Other W-2 Items button.

Fields & buttons

Use this grid to add W-2 Box 12 codes and amounts for the employee. If you add multiple Box 12 codes of the same type for the same year, the application displays the sum of the amounts on the form.

  • Year. Select the year of the Form W-2 on which to include the code and amount.
  • Code. Select the code that you want to include on the Form W-2.
  • Amount. Enter the amount to enter on the Form W-2 for the selected code.

Use this grid to add W-2 Box 14 descriptions and amounts for the employee.

  • Year. Select the year of the Form W-2 on which to include the description and amount.
  • Description. Enter the description that you want to include on the Form W-2.
  • Amount. Enter the amount to enter on the Form W-2 for the selected description.
