Licenses for Payroll CS, Trial Balance CS, and Write-Up CS (but not Engagement CS) permanently expired on March 1, 2017. CSA will not include 2017 tax rates or payroll forms, so, for 2017 and beyond, you will need to process payroll in another application. We recommend Accounting CS Payroll and myPay Solutions. For more information, see the following topics.

Use the Process CA New Hire File dialog to create the New Hire file. You can specify the appropriate hire dates to include and can choose to have the program automatically update the hire dates every time the file is created. When you create a new file, you can choose whether to combine it with, or to overwrite, any pre-existing New Hire file.

Payroll tax processing. When the California Payroll Tax Processing window is active, choose File > New Hire File Utilities > Create File.

Global payroll tax processing. When the Global Payroll Tax Processing dialog is open and the California Payroll Tax checkbox is marked, choose File > New Hire File Utilities > Create File.

Special information

CSA creates the state New Hire files to comply with the multi-state method of reporting. Before you can create a state New Hire file, you must register as a multi-state employer. For more information about how to register, contact the state for which you are filing.

When state New Hire files are created, they are automatically encrypted for security and stored in C:\WINCSI\CSASys\MagMedia, where C represents the drive in which CSA is installed. Before submitting these files to the appropriate agency, you must choose File > New Hire File Utilities > Save to Submittable Format when the state payroll tax processing window is active to decrypt the files.

To encrypt the files once again, when the state payroll tax processing window is active, choose File > New Hire File Utilities > Restore from Submittable Format.

To view the files, when the state payroll tax processing window is active, choose File > New Hire File Utilities > Preview File. When the Global Payroll Tax Processing dialog is active and the California Payroll Tax checkbox is marked, choose File > New Hire File Utilities > Preview File.
