The number of Workpapers CS users has exceeded the licensed amount

When opening Accounting CS or Workpapers CS, a message may be displayed that says:

"The number of Workpapers CS users has exceeded the licensed amount. The number of current Workpapers CS users is determined by the number of staff assigned to a security group that has access to a Workpapers CS feature. Verify that staff are members of the correct security groups and that security groups are set up correctly. Some features will not be available until this conflict is addressed."

Use the following information to resolve this message.

Verify security group setup

By default, the application has the Administrator security group, granting all staff members access to all screens and all clients. You can set up additional security groups for the roles that your staff members have, so they have access to the areas of the application they need, and do not see the areas they do not need.

  1. Choose Setup > Firm Information > Security Groups.
  2. Click Add to add a new security group, or Edit to modify an existing security group.
  3. Click the Workpapers tab for each of the security groups. If the top checkbox is marked or filled in, that security group allows access to Workpapers CS features.

Verify staff setup

Staff members who are assigned to a security group with access to Workpapers features (see "Verify security group setup" above) are counted against the number of units you are licensed for (including a trial license). Use the following steps to see which security groups your staff members are assigned to.

  1. Choose Setup > Firm Information > Staff.
  2. Click the Security tab.
  3. Verify that the proper groups are marked in the Member of groups section.

Note: Inactive staff members who had access to Workpapers are not counted in the number of units being used.

Turn off trial licenses

If you are not licensed for Workpapers, you may have the trial license turned on. Use the following steps to turn off the trial license for Workpapers and prevent this message from being displayed.

  1. Choose Help > About.
  2. Click the Trial Licenses button.
  3. Unmark the Workpapers CS checkbox.

Note: The Trial License button is unavailable if you are working in the VO or SaaS environment. Contact our Support Department to ask a representative to assist you.

VO and SaaS users do not have a Trial license button in Help > About.
You may need to use the VO mini bar to rename the Workpapers CS license (AWPNAME.DAT). You are welcome to contact the CF if you need assistance using the VO mini bar.
