If you are an administrator, you can configure security permissions by clicking the Administration button in the navigation pane and then clicking the Roles tab.

Refer to the following table for the locations of permission settings within the Roles workspace.

Modify Engagement Types

If you have this permission, you can do the following.

  • Enable, disable, or make read only any file sections in GoFileRoom.
  • Calculate a default complete date and/or delete date based on the Ending Date or Report Release Date entered on the Engagement Properties.
  • Set the default GoFileRoom indexing as End of Year or Beginning of Year. This is important if you use FirmFlow. For example, for an engagement with an ending date of June 2017 set to index in GoFileRoom by End of Year, the documents will be indexed in 2017. If the Beginning of Year is selected, the documents will be indexed in 2016.
Modify Firm Settings

If you have this permission, you can do the following.

  • View the AdvanceFlow version and ID.
  • Change your firm name as it appears in AdvanceFlow.
  • View the GoFileRoom ID.
  • Select the external products you will integrate with AdvanceFlow.
  • Select the tax products you will integrate with AdvanceFlow.
Modify Reports

If you have this permission, you can do the following.

Modify Security

This is a required permission for the Administrator group. We recommend that you limit this permission to only those individuals who are responsible for managing software application security.

Modify Tax Codes

If you have this permission, you can add, edit, and delete custom tax subcodes for any tax code for any tax vendor.

Engagement

Add Engagement

If you have this permission, you can, in addition to being able to add engagements, perform functions inside of the binder, even if the permission is not allowed elsewhere in the security setup. For example, if you have the Add Engagement permission but not the Add Folder permission, you can still create a binder from a template with folders.

Note: Although you cannot use a conversion or SMART engagement to create an AdvanceFlow engagement, you can use Checkpoint Engage to create an AdvanceFlow engagement.

Delete Engagement
Modify Engagement Properties

If you do not have this permission, all fields on the Engagement Properties dialog are read only. See also: Editing engagement properties.

Roll Forward

If you have this permission, you can perform all functions related to the roll-forward process. For example, if you are not permitted to add workpapers but you are rolling an engagement forward, AdvanceFlow will create in the new engagement all workpapers that are set to be included.

Finalize

If you have this permission, you can perform all functions related to the finalize process. For example, if you are not permitted to delete workpapers but you are finalizing an engagement, AdvanceFlow will delete all workpapers that are set to be deleted during finalization.

If you have this permission, you can clear others' notes and make other modifications.

If you have this permission, you can change prior-period balances for accounts on the Trial Balance tab. Note that manual changes to balances will override any previously existing balances and may cause accounts to become out of balance.

Import
Account Groupings Import

If you have this permission, you can import a set of grouping codes and subcodes (along with their descriptions) into the engagement. This permission does not, however, allow you to import account groupings into the Administration > Account Groupings screen.

Tax Information Import

If you have this permission, you can map and import tax codes during the spreadsheet import process and will override any tax codes that are assigned by default from the Account Groupings Mapping screen.

Trial Balance Compare

If you have this permission, you can compare trial balances from separate engagements, view any differences, and import the differences into the selected engagement. For example, if your firm works with both audit and tax engagements for various reasons, such as with separate work groups or when audits need to be finalized before the tax return is complete, you may want to have separate engagements. This allows the tax team to create a new engagement from the audit and allows you to view differences between the trial balances of the audit and tax trial balances.
