Sending Integrated Invoices from UltraTax CS to Practice CS

You can export invoice information from UltraTax CS and import those billing amounts into Practice CS using Integrated Invoices.

Setup in UltraTax CS

First, verify your file locations are correct.

  1. In UltraTax CS, go to Setup then User Preferences.
  2. Go to the File Locations tab.
  3. Select CS Practice Products and verify the locations are correct for Practice CS and Practice CS client data.
  4. Click OK.

Next, You'll need to set up a status event. Integrated Invoices use the Client Status System in UltraTax CS, so you'll need to create one to indicate that an invoice should be sent to Practice CS. 

  1. Go to Setup, then Office Configuration.
  2. Go to the Status tab.
  3. Click either Add or Edit, depending on whether you will be creating a new status event for this purpose, or editing an existing one.
  4. Mark the With the log of this event, forward invoice to CS Practice Products option.
  5. Click Enter to save.
  6. Click Done.

Setup in Practice CS

  1. In Practice CS, go to Setup then Firm.
  2. Go to the Preferences tab.
  3. Mark the Integrate this Firm with other solutions checkbox, if not already. If you have more than one Practice CS firm database, this option can only be marked for one database and you will need to choose which database to integrate. 
  4. Verify the Practice CS file locations. For details, see Setting file locations.

Sending invoices in UltraTax CS

  1. Open the client in UltraTax CS.
  2. Prepare the return and print or preview the return to calculate the invoice information.
  3. If you need to make changes to the invoice, you can do so in the General folder in the Letter screen.
  4. Close the print preview, if applicable.
  5. With the client still open, choose Utilities then Client Status.
  6. Go to the Log Event tab.
  7. Select the event you created or modified in the setup steps above and click Enter.
  8. Click Done.

 Every time you select that event and click Enter, the existing invoice information is forwarded to Practice CS.

Retrieving and accepting invoices in Practice CS

  1. In Practice CS, go to Actions.
  2. Choose Billing and select the Integrated Invoices tab.

Any invoices sent from UltraTax CS should appear on this screen. If the Integrated Invoices tab does not appear, the Practice CS setup steps above have not been completed correctly.

Once you've imported the invoice into Practice CS, you can allocate the WIP associated with the invoice.

  1. Choose a method in the Allocate invoice amounts by: field.
  2. Select the invoices you wish to import by checking the box for each one, or right-click to select all.
  3. Click Accept Selected.
  4. Accepted invoices do not post automatically if the Approval/Posting process is selected for billing. If applicable, access the Review tab to review and post the imported invoices.
  5. If there are invoices on the Integrated Invoices screen you don't want to import into Practice CS, select them by marking the check box for each one and click Reject Selected.

Notes:

  • The date of the invoice will be the actual date that the status event was logged in UltraTax CS. It can't be changed during the import process. This also affects which WIP is relieved by the integrated invoice. Only WIP dated prior to the invoice date will be relieved. Even if you wait to accept the invoices, the billed amount won't relieve any WIP transactions dated after the date that the status event was logged in UltraTax CS.
  • If you log the status event multiple times in UltraTax CS, you'll get multiple integrated invoices in Practice CS. If this was done inadvertently, you can reject any extra invoices using Reject Selected at the bottom of the screen.
  • All invoices appear in the Integrated Invoices tab if logged in UltraTax CS, even if that Client ID doesn't exist in Practice CS. You can either add the client into Practice CS and accept those invoices, or reject any invoices that you don't want to retrieve.
