The following includes general address information and instructions for making address changes in EMS.  

General Information

Firm addresses are organized into three categories as detailed below.

It's possible for a mailing, billing or preparer block address to be either a street address or a P.O. Box. A shipping or physical address cannot be a P.O. Box.

Firm Information Screen in EMS

In EMS when entering a Firm ID in the search field, the Firm Information screen will appear. This can also be accessed by navigating to Firm > Firm Information or by clicking the Firm Info icon. Contained in this screen is all of the firm demographic information. From here it is possible to edit the firm's name, phone numbers, fax numbers, and address information. Select the type of information that is being edited from the list below for steps to complete changes to information this in EMS.

Only a contact designated as a licensee may make a request to make changes to the firm's demographic information. See the Customer Service Call Facilitator if there is uncertainty about whether the caller is authorized to make the requested changes.

Note: If the firm is part of the "KANG" multi-office record (MOR), treat Mitchell Kang as the licensee.

Before completing any changes of address review the guidelines for changing name, address, and/or licensing information to ensure no changes to licensing needs to be made. An external user with Admin permissions can also update their address on our website. For additional details, see Updating firm name and/or address information.

  1. In EMS click the Primary Phone button in the Firm information window to launch the Firm Demographics screen.
  2. Click the address to be changed to select it. If multiple addresses are being updated, click on any one of the addresses that need to be updated.
  3. Right-click and choose Edit selected address.
  4. Enter the new address information into the Address section of the Edit Address Information screen.
  5. Mark the checkbox next to the applicable addresses to be updated.
  6. Click Save to complete the changes and click OK in the Firm Demographics dialog.
  7. If no other demographic changes need to be made click Save in the Firm Demographics screen.
  8. Navigate to Application > Licenses > Generate Licenses, EMS will regenerate the new license to match the updated information. New licenses will need to be downloaded for all CS Professional Suite Applications to see the changes reflected.

The Bad Address status is assigned to a firm when there is not a valid address for the firm and attempts to research a firm's address online come up empty. This saves mailing and re-mailing costs. The status can be removed or added by completing the steps below.

  1. In EMS click the Primary Phone button in the Firm information screen to launch the Firm Demographics screen.
  2. Click any address to select it.
  3. Right-click and choose Set as bad address or Remove bad address status.
  4. Click Yes in the Firm Demographic dialog box.
  5. Click Save to complete the changes.

Contact information can no longer be updated in EMS by an internal User Services representative. To update the name or email address associated with their contact information, the external user must complete the following steps:

  1. Visit the My Account page on our website and log in to your CS Web account.
  2. Click the My Profile link.
  3. The My Account > My Profile page will automatically open in a new tab within your browser. Click the Account tab and enter your updated information, or the password tab to change your account password. To complete your changes click save.

The list below details the contact role codes that are used in EMS.

  • C - has a log in on the CS Professional Suite website
  • E - subscribed to email notifications
  • D- CS Web account and desktop application access
  • L - Licensee
  • B - Billing contact, invoices and renewal invoices will be address to this contact
  • M - Mailing
  • S - Shipping
  • A - Administrative right on the CS Web, may access any area with a lock icon next to it

To change or add a Shipping, Mailing, or Billing contact complete the steps below:

  1. In EMS click on the Contact Roles button in the Firm Information screen.
  2. In the Roles section of the Assign Roles screen, click the drop-down menu next to the role to be changed.
  3. Select the new contact from the list and click save.

  1. In EMS click the Primary Phone button in the Firm information window to launch the Firm Demographics screen.
  2. Enter the new firm name into the Firm name field.
  3. Click Save to complete the changes.
  4. Click Yes in the Firm Demographics dialog to apply the changes and click OK.
  5. Navigate to Application > Licenses > Generate Licenses, EMS will regenerate the new license to match the updated information. New licenses will need to be downloaded for all CS Professional Suite Applications to see the changes reflected.

If the firm uses UltraTax CS or Accounting CS to electronically file returns, a new eFile Application Summary may be needed. See Change your firm name, address, and/or phone number for more detail, and share with customers to help them self service this change. The firm name change must be submitted via the Manage Firm page of their CS Web account and no changes can be accepted over the phone. Document all changes in Flash notes.

  1. In EMS click the Primary Phone button in the Firm information screen.
  2. Enter the new phone number or fax number into the either the Phone or Fax number fields.
  3. Click Save to complete.
  4. Navigate to Application > Licenses > Generate Licenses, EMS will regenerate the new license to match the updated information. New licenses will need to be downloaded for all CS Professional Suite Applications to see the changes reflected.

Note: If entering an international phone or fax number, the "International" box must be checked.
