If you have administrative privileges, you can manage global password settings for GoFileRoom users in your firm.

To change password settings, follow these steps.

  1. Choose Administration > Manage Configurations from the GoFileRoom toolbar, then click the Security tab.
  2. Change any of the following settings as needed.Specifies the maximum number of login attempts before an account is disabled. You can enter a setting of 3 through 10 in this field.

    Minimum Password Length In this field, enter the minimum length between 8 and 255 characters that will be allowed for a new password.
    Maximum Password Length In this field, enter the maximum length allowed for a new password.
    Minimum Password Strength This read only field is set to Best. All passwords must contain uppercase, lowercase, numbers and symbols.
    Maximum Repeated Characters Choose No Restriction from this drop-down menu to allow any number of repeated characters in a password. Choose 2 through 8 to limit the number of characters that can be repeated to the chosen value.

    If you choose 4 from this drop-down list, a user could use "1111" or "aaaa" in a password, but "11111" or "aaaaa" could not be used.
    Maximum Sequential Characters Choose No Restriction from this drop-down menu to allow any number of consecutive characters in a password. Choose 2 through 8 to restrict the number of consecutive characters to the chosen value. Example
    If you choose 4 from this drop-down list, a user could use "1234" or "abcd" in a password, but "12345" or "abcde" could not be used.
    Maximum Similarity to Login or Full Name Choose No Restriction from this drop-down menu to allow in a password any number of sequential characters that are similar to a user's login or full name. Choose 3 through 8 to restrict the number of similar characters to the chosen value. Example
    If you choose 4 from this drop-down list, a user with the login paul.parnes@cpafirm.com could use "paul" or "firm" in a new password, but could not use "parnes" or "cpafirm."
    Forbidden Password Words Enter words or character sequence that you don't want to be used in passwords in the Add field and click the Add button. Restricted words are shown in the Forbidden Password Words list.

    Notes

    • Restricted words are not case sensitive.
    • To remove items selected in the Forbidden Password Words list, click the Remove button. Click Clear All to clear the entire list.
    • You can edit a word in the Forbidden Password Words list by selecting it, clicking the update button, and editing it in the Add field.
    Permitted File Types If your firm has this feature enabled, you can control which file types can be added to GoFileRoom by entering permitted file types in the Add field and clicking the Add button. Permitted file types are shown in the Permitted File Types list.

    Notes

    • For more information on enabling this feature for your firm, contact your GoFileRoom Support representative.
    • To remove items selected in the Permitted File Types list, click the Remove button. Click Clear All to clear the entire list.
    • You can edit an item in the Permitted File Types list by selecting it, clicking the update button, and editing it in the Add field.
    Maximum Password Age Defaults to 90 days. All users must reset thier passwords at least every 90 days.
    Use Remember Me Login Cookie Retains the current user's login in the GoFileRoom Login field. If this checkbox is not marked, the login of the last user will not be shown.
    Idle Session Timeout Minutes This read only field is set to 30 minutes. GoFileRoom sessions will automatically be terminated after 30 minutes has elapsed with no user activity. 
    Lockout Threshold Specify the number incorrect login attempts before an account is disabled. You can enter a value from 3 to 10 in this field.
  3. Click the Save button.
