The section below will provide you with detailed information related to any potential issues encountered during your attempts to import FirmFlow folders in bulk.

General errors on the Bulk Import screen

If the bulk import process is unsuccessful, you will receive one of the error messages in the table below.

Error Resolution
"The file you attempted to import is not a .xls file. Please try again." Rename the spreadsheet so that the .xls extension uses all lower-case letters.
"There was an error processing folders. Check your email for error details." Check your email for a message detailing the specific issues found during the validation process. See the Validation error details and resolution procedures section below for tips on resolving the errors described in the email message.

Validation error details and resolution procedures

The Bulk Import processing engine requires that the bulk import spreadsheet be created with great attention to detail. Every validation error and the respective steps to resolve the error are documented below.

Spreadsheet Format Validation Errors

Error Resolution
"Upload failed. Please check the file and try again.
\\gofileroom\data\gfx\GFRTMPDATA\WebTemp\XXX\ImportFolders-01-15-15-23-280396589.xls."

Our processing engine has found a problem with the worksheet's name - generally due to binary invalid characters.

Copy the contents of the spreadsheet and paste it into a new spreadsheet leaving the default worksheet names in tact (e.g., Sheet 1) and try again.

Note: Do not select the entire worksheet using the border cell. Use your mouse cursor from the A1 cell and drag towards the bottom-right until all content is selected. The selected content should not go lower than the last row used and not past the column of the last step or custom field.

"Upload failed. Please check the file and try again.
\\gofileroom\data\gfx\GFRTMPDATA\WebTemp\XXX\ImportFolders-01-14-18-54-99847534.xls Invalid number of columns provided for import."

Our processing engine has found that the spreadsheet does not contain the matching number of columns required for successful import. There could be several reasons for this even though it appears that the spreadsheet meets the column requirements.

Ensure that the column headers are matched to the information our engine is expecting. Then copy the contents of the spreadsheet and paste it into a new spreadsheet and try again. If the same error message is encountered, your column headers are not accurate.

Note: Do not select the entire worksheet using the border cell. Use your mouse cursor from the A1 cell and drag towards the bottom-right until all content is selected. The selected content should not go lower than the last row used and not past the column of the last step or custom field.

Data validation errors

When specific content in the spreadsheet is problematic, each row that requires attention will be included in the error email message.

Example:

Each record identifies the row, the specific validation errors, and all of the values found in the row. In the example above, the validation error is found in row 2 in the spreadsheet, and there are four validation errors - two for an invalid user or group (Mark Money and Dan Cash) and two for invalid custom field values (25 and Complex).

Error Resolution
ERRORS for row 453: Missing Client Number,Type of Engagement,Period End,Year||||||||||||||||||

Our processing engine has found that the spreadsheet contains binary data in the spreadsheet.

Copy only the contents of the spreadsheet (not the entire spreadsheet), paste it into a new spreadsheet. and try again. If the same error message is encountered, you did not select data only.

Invalid client number

The client number is invalid or does not exist in GoFileRoom.

Ensure that the client number is part of the client lookup list found in GoFileRoom (use the Add area). If not found, it will need to be added to GoFileRoom or the row should be deleted from the spreadsheet. If the error persists, add an apostrophe (single-quote) immediately prior to the client number in the spreadsheet (e.g., '33313.001).

Missing type of engagement

The Engagement Type value is not populated in the row specified.

Add the Type of Engagement value to the spreadsheet. Ensure that it is an actual File Section value that is configured to be an Engagement Type.

Invalid type of engagement

The Engagement Type value in the spreadsheet does not match the value in GoFileRoom or it is not configured as an Engagement Type.

Ensure the spreadsheet value exactly matches the File Section in GoFileRoom - including spacing. Ensure that the File Section is configured as an Engagement Type in Administration>Manage FirmFlow>Lists tab>Engagement Type sub-section.

Invalid PIC

The PIC in the spreadsheet does not match the Full Name in GoFileRoom or the user is not a member of the PIC or FirmFlow Users groups.

Ensure the spreadsheet value matches the Full Name of the users found in Administration> Manage Users & Groups>Users tab. Make the user a part of the PIC and/or the FirmFlow Users group.

Invalid period end

The Period End value in the spreadsheet does not match the period end values in GoFileRoom or the cell is not formatted as a "text" cell.

Ensure that the period end value in the spreadsheet matches the period end values in GoFileRoom. Change the formatting the cell to a "text cell" Right-click cell, choose the "Format Cells" option, select the Text value in the Number tab, and re-type the value.

Unknown form name

The form value in the spreadsheet does not exist in GoFileRoom.

Ensure the form is found in GoFileRoom. If necessary, add it. Or make sure that the spreadsheet's form value matches the form value in GoFileRoom.

Invalid due date

The due date value in the spreadsheet is not available for the respective form in GoFileRoom.

Ensure accuracy in the availability of the due date in GoFileRoom. Either add the due date in GoFileRoom or modify the due date value in the spreadsheet. Note that the cell's formatting does not need modification.

Invalid User/Group for Workflow Step X

The user or group does not exist, does not match a group's name in GoFileRoom - including spacing, or is not configured for FirmFlow.

The user does not match the Full Name or they are not a member of the FirmFlow User group. The groups may not exactly match the values of the group in GFR (may even include an extra space before, in between, or after the values) or are not configured to be FirmFlow group (Manage TF>Configurations>Workflows sub section.

Invalid value for custom field X

The custom field value in the spreadsheet does not exist or match the values available in GoFileRoom.

Ensure the custom value exists in GoFileRoom or matches the available values in GoFileRoom.
