Managing authorized users of restricted drawers

Restricted drawer owners have the ability to add authorized users to, and remove authorized users from, a restricted drawer. Restricted drawer owners can also designate or remove additional drawer owners.

We recommend a best practice of assigning at least two owners for each restricted drawer. If a GoFileRoom administrator changes the password of a restricted drawer owner, that access to the restricted drawer is removed. If this occurs, the other restricted drawer owner can then add the other owner to the drawer again.

To add authorized users to a restricted drawer

  1. Log into GoFileRoom.
  2. Go to Administration > Restricted Drawer Access.
  3. Select the appropriate restricted drawer you are an owner of in the Drawers drop-down.
  4. Under "Select users who are authorized to see documents in this restricted drawer" select the user from the Users area over to the Authorized Users area.
  5. Click Save.
  6. A GoFileRoom administrator will also need to provide drawer level permissions to the user for that restricted drawer.

To remove authorized users from a restricted drawer

  1. Log into GoFileRoom.
  2. Go to Administration > Restricted Drawer Access.
  3. Select the appropriate restricted drawer you are an owner of in the Drawers drop-down.
  4. Under "Select users who are authorized to see documents in this restricted drawer" select the user from the Authorized Users area over to the Users area.
  5. Click Save.

To designate an additional owner of a restricted drawer

  1. Log into GoFileRoom.
  2. Go to Administration > Restricted Drawer Access.
  3. Select the appropriate restricted drawer you are an owner of in the Drawers drop-down.
  4. Under "Select users who will be able to grant access for this restricted drawer" select the user from the Users area over to the Drawer Owners area.

    Note: The drawer owner cannot also be a member of the Administrators security group.

  5. Click Save.
  6. A GoFileRoom administrator will also need to provide drawer level permissions to the user for that restricted drawer.

To remove a drawer owner from a restricted drawer

  1. Log into GoFileRoom.
  2. Go to Administration > Restricted Drawer Access.
  3. Select the appropriate restricted drawer you are an owner of in the Drawers drop-down.
  4. Under "Select users who will be able to grant access for this restricted drawer" select the user from the Drawer Owners area over to the Users area.
  5. Click Save.

If no drawer owners are available to authorize or give you ownership, contact Support for assistance.

Internal notes


When an Administrator or GFR support resets the password of a restricted drawer authorized user or owner, they will lose access or ownership to their restricted drawer(s). If no owners are available — you can enter a request for the Resolver to provide ownership or access to their restricted drawer. See Internal: Requesting ownership or authorization to a restricted drawer for GoFileRoom for instructions.
