Notifying users when new File Exchange files are available

NetFirm CS administrators can set up notification messages to alert specific NetClient CS or NetStaff CS users when files are uploaded to File Exchange.

  1. In the Admin tab of the navigation pane, click the Notification link in the Utilities section.

    Note: If you don’t see this link, you don’t have access to this area.

  2. In the Notification list, click File Exchange.
  3. With NetStaff CS selected under Display Users, do one of the following.
    • Click All Users to send notification messages to all users when a file is uploaded to a File Exchange folder that they can access.

      Note: If a NetFirm CS administrator previously set up a NetStaff CS user to receive notifications for File Exchange uploads but the NetStaff CS user turned those notifications off from within his portal, you can reset the portal to once again receive notifications for uploads. To do this, you must first turn off notifications for the user by clicking the Selected button under Notifications, unmarking the checkbox for the user, and clicking the Enter button. Then, re-enable File Exchange notifications for the user and click Enter again.

    • Click Selected under Notifications to send notifications to specific NetStaff CS users, and mark the checkboxes for the users who should receive the notification.

    Notes

    • If you click Select All, new users will receive notifications by default. An administrator does not have to return to this screen to mark the checkboxes for new users.
    • Enter any part of a user’s name or login in the Find field to locate a user.
    • Under Filter Options, click the Unselected button to display only the users who are not set up to receive notifications about File Exchange uploads. Click the Selected button to display only the users who are set up to receive notification messages.
  4. If you do not want NetStaff CS users to receive notifications when their colleagues upload files to File Exchange, mark the Send notification for NetClient CS user uploads only checkbox.
  5. Under the Display Users heading, click the NetClient CS button.
  6. Mark the checkbox for each NetClient CS user to whom NetFirm CS should send a notification message.
  7. Click Enter.
  8. Optional: Modify the template for the notification message.
  9. Optional: Specify the method by which users will receive the notification.

The users will now receive notification messages when files are uploaded to File Exchange folders to which they have access. NetStaff CS users can specify the folders for which they will receive File Exchange upload notifications.

Note: Notifications will not be sent for uploads to private folders.
