Migrating FileCabinet CS data to Virtual Office CS or SaaS

Complete the following multi-part procedure to move FileCabinet CS data from a local or network drive to Virtual Office CS or SaaS, and to set up the Virtual Office CS or SaaS installation of FileCabinet CS.

Note: Archives are not included in drawer backups. If you need to back up archives, see FileCabinet CS: Moving archives to a new location.

Another option is to restore the archives, then backup the data, migrate to Virtual Office CS or SaaS, then recreate the archives in Virtual Office CS or SaaS. Part 1: Back up data from your local installation of FileCabinet CS

We recommend backing up FileCabinet CS data in 1 GB pieces rather than the entire database. This will help avoid issues when restoring data into Virtual Office CS .

  1. Create a folder on your local hard drive named FCSbackups.
    1. Double-click the My Computer icon.
    2. Double-click the C:\ drive.
    3. Choose File > New > Folder.
    4. Name the folder FCSbackups.

    Note: If you use multiple data locations, you should create a separate backup folder for each data location.

  2. Open your local installation of FileCabinet CS.
  3. Optional: Rebuild the drawer list. To do this, choose Help > Repair, click the Rebuild List of Drawers button, and click Done when FileCabinet CS is done rebuilding the list.
  4. Choose File > Backup.
  5. Double-click a drawer or drawers to move them to the right (Selected) pane, or click the Select All button.

    Note: The open drawer (if any) is listed in the Selected pane.

  6. In the Backup data group box, click the Modify Backup Location button, navigate to C:\FCSbackups, and click OK.
  7. If you use multiple data locations, log in to each additional location and repeat steps 2 - 4. Be sure to select the appropriate backup destination in step 4.
  8. Optional: To back up the FileCabinet CS system settings (NetClient CS folder list, default email text, annotations from the Stamp Library, and more), choose System Settings from the drop-down list in the upper-left corner of the Restore dialog, double-click the items you want to back up, and click the Backup button.

    Do not back up your firm’s data locations.

    If you use Document Presentation, back up Folder Listings and the NetClient CS folder.

    Do not back up Misc System Settings if you have advanced user/group security settings enabled. The security settings included in this data can cause problems accessing the application in the Virtual Office CS or SaaS environment.

  9. Close the local installation of FileCabinet CS.

Internal notes


If a user has backed up Misc System Settings, before they restore into Virtual Office CS or SaaS, they must delete these files from the backup: ZFCSMSC.DAT and ZFCSMS2.DAT.

Part 2: Restore data into the Virtual Office CS or SaaS installation of FileCabinet CS

  1. Click the Applications link in the NetStaff CS tab of the navigation pane.

    Note: If you don’t see this link, you don’t have access to applications through Virtual Office CS or SaaS.

  2. In the Virtual Office CS screen, click the FileCabinet CS icon to open the application.
  3. If you need to set up multiple data locations, contact Web Services Support

  4. Choose File > Restore.
  5. In the Restore Data group box, click the Change Restore Location button, navigate to the FCSbackups folder on your local C:\ drive.

    Note: In the Virtual Office CS or SaaS environment, C$ on Client (V:) is your local C:\ drive.

  6. Double-click one or more drawers in the left pane to move them to the right (Selected) pane, or click the Select All button.
  7. To recreate the folder structure of each drawer, verify that the Automatically create folders checkbox is marked.
  8. Click the Restore button.
  9. If you use multiple data locations, repeat this procedure for each data location.
  10. Optional: If you backed up the FileCabinet CS system settings, choose System Settings from the drop-down list in the upper-left corner of the dialog and restore the items.

Part 3: Set up the Virtual Office CS or SaaS installation of FileCabinet CS

  1. To restore drawer families, choose Help > Repair and click the Rebuild Drawer Families button in the Drawers tab.
  2. Choose Setup > System Configuration and modify settings as appropriate for your firm.

    If your firm uses advanced security, you will need to set up the advanced security again.

  3. Each FileCabinet CS user should verify his user preferences through the Setup > User Preferences dialog.

You are now ready to work in FileCabinet CS in the Virtual Office CS or SaaS environment.
