Importing data from UltraTax/1040

You can import federal client data from 2001-2019 UltraTax/1040 into Planner CS.

Note: You cannot import state or city information from UltraTax/1040.

  1. In UltraTax/1040, choose File > Open to open the 1040 client whose data you want to import into Planner CS.

    Note: If the discourage access status event has been logged for that UltraTax CS client, you can open the return as read-only if you do not want to recalculate the return before importing the data. For more information, see the UltraTax CS help in the Help & How-To Center.

  2. In UltraTax/1040, choose Utilities > Planner CS (Export). Planner CS opens and the Import Client Data dialog opens.

    Note: If the Planner CS (Export) command does not appear in the Utilities menu of UltraTax/1040, you need to specify in UltraTax/1040 where Planner CS is installed. Choose Setup > User Preferences, click the File Locations tab, click the Planner CS option, and modify the location as necessary. You can find the install path in Planner CS under Help > System Information. The path in UltraTax CS must match the Planner CS Program Path. 

    The command might also not appear if you don't have the current version of Planner CS installed. The version of Planner CS needs to be the same year as UltraTax CS. Go to Help > About Planner CS and verify the System Version. If the version is a previous year, you'll need to download and install the current year of Planner CS.

  3. In the Import Client Data dialog, click one of the options to import data into a new plan or an existing plan, then click OK.

    Tip: If the client has an existing plan that includes data-entry projections for future years, you may want to choose the New Plan option and enter a new plan ID, which allows your existing plan to retain its future-year projections. Or, you can import to the existing plan and select the Create a new alternative for import checkbox to retain the future-year projections.

  4. Do one of the following:

    Importing data into a new plan

    1. In the General tab of the Import New Plan dialog, the UltraTax/1040 client ID is automatically entered into the Plan ID field. You can keep this plan ID or enter a different ID.

      Note: If you enter a Plan ID that is identical to the ID of an existing plan in Planner CS, you will be prompted to enter a new, unique ID.

    2. Assign a preparer to the plan by selecting a preparer from the Assigned to drop-down list, or select <Default> if you do not want to specify a preparer for the new plan.

      Note: The current preparer is automatically entered in this field by default.

    3. Do one of the following to create a basic plan, family plan, an annualized plan, or an S Corp Comparison plan.

      1. Enter the number of alternatives to include in the new plan in the Number of Alternatives field.
      2. Enter the number of years to include in the new plan in the Number of Years field.
      3. Optional: If you want to display the data for the first plan year in one Base Year column next to the alternatives and future years in the plan, mark the Display single base year checkbox in the Options group box. (Note that this checkbox is not available when the Family Plan or Annualized Plan checkbox is marked, or when the plan includes only one alternative or year.)
      4. Optional: If you want to copy the plan data to all alternatives and/or years in the new plan, mark the Copy across all alternatives and/or Copy across all years checkbox. (Note that these checkboxes are not available when the Family Plan, Display single base year, or Annualized Plan checkbox is marked.)

      Note: Data imported into a family plan appears in the Parents column.

      1. Mark the Family Plan checkbox in the Options group box. (Note that this checkbox is not available when the Annualized Plan checkbox is marked.)
      2. Enter the year of the new plan in the Plan Year field.

        Note: Family plans are always one-year plans.

      3. Enter the number of children in the Number of Children field.
      4. Optional: To change the default name of a child in the plan, click the Children's Names tab, highlight the default name of a child (for example, Child 1) in the Children Included in Plan pane, and then enter a new name in the Child's Name field.

      Note: Data imported into an annualized plan appears in the full-year (Jan.-Dec.) column.

      1. Mark the Annualized Plan checkbox. (Note that this checkbox is not available when the Family Plan checkbox is marked.)
      2. Enter the year of the new plan in the Plan Year field.

        Note: Annualized plans are always one-year plans.

      1. Mark the S Corp Comparison checkbox.
      2. Enter the year of the new plan in the Plan Year field. You can enter the export year or a subsequent year.

        Note: S Corp Comparison plans are always one-year, two-alternative plans.

    4. Do any of the following optional steps.

      • Enter a description in the Plan Description field. When opening a plan via the Open Plan dialog, this information appears in the Plan Description field when the plan is highlighted.
      • Enter a keyword in the Keyword field to help distinguish this plan from other plans. Keywords can be used to search or sort the list of available plans when opening plans via the Open Plan dialog.
      • Select the taxpayer's resident state, if licensed, from the drop-down list. (Note the default resident state is the same resident state that is in the UltraTax CS return. Also note this field is not available when the Annualized Plan checkbox is marked.)
      • To select nonresident states, if licensed, click the Nonresident States button, mark the applicable state checkboxes, and click OK. (Note the default nonresident states are the same nonresident states that are in the UltraTax CS return. Also note this button is not available when the Annualized Plan checkbox is marked.)
      • Click the Set Password button and enter a password if you want to password-protect plan data.
      • Click the Client Information tab and enter information such as client name, address, Social Security number, and date of birth.

        Note: The taxpayer's and spouse's dates of birth are used in various federal and state calculations.

    5. The name, Social Security number, date of birth, and address from the UltraTax/1040 client will import automatically to Planner CS. Click the Client Information tab to view or modify this information.
    6. Click OK. Planner CS creates the data file and automatically opens the main data-entry window for the new plan.

    Importing data into an existing plan

    1. In the Import to Existing Plan dialog, select a "destination" plan from the list of existing plans. If a plan already exists for the UltraTax/1040 client ID, the plan will be highlighted. If the client has more than one plan, scroll through the list to choose a different destination plan.

      Notes

      • The "current tax year" is defined as the year of the UltraTax/1040 client being imported. For example, if you are importing client data from tax year 2017, the current tax year is 2017.
      • The first plan year must be before or equal to the current tax year. For example, if the UltraTax/1040 client's tax year is 2017, and the destination plan's years range from 2018-2020, an import will not be allowed. In this example, the first plan year must be 2017 or earlier.
      • If the last year in the destination plan's range of years is prior to the current tax year, Planner CS will automatically add years to the plan up to the current tax year.
      • If the destination plan already includes the current tax year or later years, and the Create a new alternative for import checkbox is not marked, Planner CS must clear all data from these years, in each alternative, in order to import the new UltraTax/1040 data. For example, if the destination plan includes the years 2014-2018, and the current tax year of the UltraTax/1040 client is 2017, data entered into the plan's 2014-2016 years would remain as entered, but Planner CS will delete the 2017-2018 data prior to import.
      • The destination plan cannot be an annualized plan or a family plan.
    2. If you want to delete plan years prior to the specified year for all alternatives, mark the Delete years prior to [year] checkbox.

      Note: The year in the Delete years prior to [year] checkbox will change based on the year of the tax return being imported.

    3. If you want to create a new alternative into which the client data will be imported, mark the Create a new alternative for import checkbox. If you do not mark this checkbox, Planner CS will overwrite data in the selected plan for the current tax year of the UltraTax/1040 client.
    4. Click OK. A warning dialog will open if:

      • the Social Security number of the imported client does not match the Social Security number of the destination plan.
      • the destination plan already includes information for the destination year or subsequent years, and the Create a new alternative for import checkbox is not marked.

      If a warning dialog opens, click OK to proceed with the import. The application will then import the current tax year data to the current year of the plan in each plan alternative, or to a new alternative for the selected plan if you marked the Create a new alternative for import checkbox.

    5. The Activities Import dialog will open if the UltraTax/1040 client includes business activities that did not exist in the destination plan prior to export. Click OK to complete the import.

      Note: To review imported business activities data in the plan, click the Activities button when the plan is open.

    Importing 2018 data into a TCJA Comparison Plan

    This tax plan illustrates the effects of the Tax Cuts and Jobs Act (TCJA) on a client’s income tax liability using a side-by-side comparison of the 2018 client data with the tax liability calculated under the 2017 law in the first column, and the tax liability calculated using the provisions of the TCJA in the second column.

    1. In the General tab of the Import New Plan dialog, the UltraTax/1040 client ID is automatically entered into the Plan ID field. You can keep this plan ID or enter a different ID.

      Note: If you enter a Plan ID that is identical to the ID of an existing plan in Planner CS, you will be prompted to enter a new, unique ID.

    2. Assign a preparer to the plan by selecting a preparer from the Assigned to drop-down list, or select <Default> if you do not want to specify a preparer for the new plan.

      Note: The current preparer is automatically entered in this field by default.

    5. Click OK. Planner CS creates the data file and automatically opens the main data-entry window for the new plan.

    Notes

    • You may want to edit the plan data after creating the TCJA Comparison Plan. For example, enter the amount of income or loss for the qualified business income deduction for applicable business activities on the Activities > Data Entry button > Qualified Busn Inc tab.
    • The TCJA Comparison Plan includes a third column that displays the difference between the first two columns for each row in the plan. Choose View > Difference Analysis to exclude the Difference Analysis column from the plan.
    • When a TCJA Comparison Plan is open, certain Planner CS menu commands, such as adding or deleting years or alternatives, and the MFS Split utility, are unavailable.

    Note: After you import data from UltraTax/1040 to an existing plan or a new plan, the Import Tips dialog appears if certain calculated differences between the tax return and the plan have been detected by Planner CS.
