Processing ACH and credit card payments outside of Practice CS

To process ACH and credit card payments within Practice CS, a Kotapay account is required. If your firm has an Kotapay account but does not want to process through Practice CS or if your firm processes ACH and credit card payments outside of Practice CS using any other method, you can still enter ACH and credit card receipts in Practice CS by following the instructions below.

There is not a way to stop Practice CS from processing a single ACH or credit card payment. If you need to leave ACH and credit card processing enabled (for instance, if you process some ACH and credit card payments in Practice CS but not all), you will need to enter ACH and credit card payments processed outside of Practice CS as either Cash or Check.

Disable ACH and credit card processing

Because Practice CS will not be processing your clients’ payments, ACH and credit card processing must be disabled.

  1. Choose Setup > Firm and click the Billing and A/R tab.
  2. Under A/R options, unmark both Enable ACH processing and Enable credit card processing.

Enter the payment

  1. Choose Actions > Receipt & Adjustment Entry
  2. Enter a Control Date.
  3. Fill out the Bank Account, Date, and Client ID fields.
  4. In the Type field, select Credit Card (CC) or Electronic Funds (ACH). You should not be prompted to enter any credit card or account information. If you are, verify that ACH and credit card processing are not enabled.

    Note: As explained above, if you need to leave ACH and credit card processing enabled, you will need to choose Cash or Check for the payment type. You can use the Comment field to note that this is actually an ACH or credit card payment.

  5. Fill out the rest of the fields as needed.
